Position Summary:
We are seeking a Project Assistant to support organizational projects, cross-center collaborations, and front-office administration. The daily requirements of the Project Assistant role will vary widely, such as monitoring and responding to public inquiries, maintaining schedules and documentation, supporting data collection and reporting requirements, managing the completion of multi-step processes, providing administrative support, and completing other duties as assigned. Key to this role will be a positive and flexible attitude, providing excellent service and communications to our internal and external guests, partners, and colleagues, and a willingness to provide support across projects, wherever it is needed.
Key Responsibilities:
  • Provide administrative support associated with organizational projects and cross-center collaborations.
  • Provide administrative support associated with front-office operations, including greeting/directing building guests and managing general inquiries.
  • Collaborate with internal staff to field, track, and ensure follow-up on requests for information from families and professionals working with people with autism and low incidence disabilities, including activities of Intervention Assistance Team.
  • Respond with accuracy, responsiveness, and positive communication, written and oral, with internal and external customers.
  • Independently plan and schedule internal and external meetings.
  • Maintain and organize project documentation. Ensure all activity is recorded accurately and evaluated accordingly.
  • Work across multiple projects tracking and reporting on status through reports and internal meetings.
  • Manage data effectively and perform basic computations using tools such as Excel/Numbers.
  • Collaborate with fiscal team on responsibilities including but not limited to maintaining purchase orders and invoices as they relate to specific tools and responsibilities.
  • Willingness to learn and utilize accessibility principles or practices as they relate to specific tools and responsibilities.
  • Other duties may be reasonably required from time to time.

Minimum Qualifications:
  • Self-motivation and initiative, strong independent work ethic.
  • Strong organizational skills, attention to detail, and proven ability to perform assigned tasks independently with a high degree of accuracy.
  • Ability to use good judgment, prioritize, and meet deadlines across multiple projects simultaneously.
  • Ability to maintain the confidentiality of sensitive and private data.
  • Ability to approach situations and challenges with flexibility and a sense of humor.
  • Ability and desire to work in a team environment and with diverse groups of people.
  • Experience with customer support and/or fielding of public inquiries.
  • Excellent written and verbal communication skills.
  • Proficiency with applications and online environments including but not limited to: Microsoft Word, Excel, PowerPoint, Teams/Zoom, SharePoint.
  • Bachelor's degree, or comparable experience, required.
