Job description

Project AssistantThe Project Assistant is responsible for assisting with all accounting related duties of the site teams. This includes receiving goods, processing vendor invoices, preparing legal documents, contacting clients for payments and many other accounting related duties. The successful candidate will work closely with both the site team and our Central AP Team to ensure all invoices are submitted and paid on time along with a variety of other duties. We are currently using OnBase and Viewpoint accounting systems.
This is a full time, in office position based in NW Edmonton, AB on a Monday-Friday, 8:00am-4:30pm schedule.What You Will Be Working On
  • Prepare and collect monthly client billings (accounts receivable).

  • Review incoming supplier and subcontractor invoices for accuracy and coding.

  • Process supplier and subcontractor invoices and purchase orders.

  • Enter receiving documents for all goods received on sites

  • Prepare subcontract documents and collect and update subcontract documents as required.

  • Prepare and distribute documentation to subcontractors, clients and architects as required by project teams. This may include documents such as shop drawings, change orders, requests for pricing, request for information, etc.

  • Prepare and distribute meeting minutes for various meetings.

  • Assist with preparation and distribution of reports as required.

  • Correspond with clients and subcontractors via email and phone.

  • Provide other administrative support by operations staff and project teams.

  • Other duties as required, including regular front desk reception relief coverage and vacation coverage for other Administration staff.

  • Experience working in the construction industry considered an asset

  • Experience with Viewpoint or OnBase Accounting System would be considered an asset

  • Intermediate level computer skills, including Microsoft Office

  • Excellent communications skills, customer service oriented and a team player

  • Ability to manage a large volume of work and can consistently meet deadlines while ensuring high attention to detail and accuracy

  • Ability to forge, grow and maintain positive relationships with multiple groups

  • Strong written and oral communication skills

  • Able to manage multiple priorities simultaneously and meet the time demands of unpredictable activities, capable of handling pressure and challenges in a dynamic business environment

  • Ability to work within tight deadlines and prioritization of work to achieve them

  • Strong analytical, critical thinking, problem-solving skills, and a high degree of accuracy and attention to detail
