Job description

Job Title: Weekend Administrative Assistant Location: Lynchburg, Virginia Type: Contract (3-month) Compensation: $21.00 - $28.00 per hour Work Model: Onsite โ€“ onsite Hours: Saturday & Sunday 7:30 am to 5:00 pm

Overview System One is hiring an Administrative Assistant (weekend shift) in Lynchburg, VA. Responsibilities

  • Arrive on time and ready to assume shift responsibilities
  • Perform thorough shift turnover with the outgoing attendant
  • Answer incoming phone calls promptly at all times
  • Document new issues using a standard intake form during the initial call
  • Enter issue details into the designated online system
  • Contact appropriate on-call personnel (Electrical, Mechanical, or Software) based on caller input, using the daily on-call list
  • Notify the designated Issue Manager for the day when issues require War Room handling
  • Draft and send emails to customers and distribution lists to request approval to work issues from the War Room, using a standard email template
  • Include initial cost estimates provided by the Issue Manager, when required
  • Support troubleshooting efforts by taking notes and recording discussions when an issue is approved for War Room handling
  • Answer phones and log updates in the system
  • Provide status updates via email to the OCC and other stakeholders at designated times
  • Set up and manage conference calls
  • Perform end-of-shift turnover with the incoming attendant to ensure continuity
Requirements
  • Exceptional verbal and written communication skills
  • Strong attention to detail and ability to document information accurately
  • Ability to remain calm, organized, and professional in a fast-paced or high-pressure environment
  • Proficiency with Microsoft Outlook (email and meeting scheduling)
  • Proficiency with Microsoft Word (document creation and editing)
  • Proficiency with Microsoft Teams (chat, calls, and conference coordination)
  • Experience with Browser-based data entry and collaboration systems / web applications
  • This is a temporary, shift-based role requiring weekend, and holiday availability
  • Consistency and reliability are critical due to the 24/7 nature of operations
  • Local candidates are required for on-site coverage
