PURPOSE OF CLASSIFICATION
Under general supervision, the File Clerk is primarily responsible for filing away all court pleadings and maintaining the organization, storage, and accessibility of court files. Filing, file maintenance, and shifting files on-site and off-site are the primary responsibilities of this position. The File Clerk will also provide additional support to Deputy Clerks in the Clerk's Office by performing a variety of clerical and office support functions.
ESSENTIAL FUNCTIONS
The following duties are normal for this position. The omission of specific statements of the duties does not exclude them from the classification if the work is similar, related, or a logical assignment for this classification. Other duties may be required or assigned.

  • File, organize, and maintain all court pleadings and related legal documents
  • Shift and manage files between on-site and off-site storage locations
  • Assist Deputy Clerks with daily office operations
  • Provide customer service at the public service counter
  • Collect fines, fees, and process payments accurately
  • File and record officer's returns, judgments, resets, and orders of protection
  • Answer and direct incoming telephone calls
  • Schedule and set court dates
  • File and certify court orders and other legal documents
  • Maintain accurate court records and documentation
  • Perform general clerical and administrative support duties as assigned
ADDITIONAL FUNCTIONS / PHYSICAL QUALIFICATION
This position requires daily manual office labor and physical activity in support of records management and filing operations. Duties include, but are not limited to, lifting, carrying, pushing, and moving file boxes and documents weighing approximately 25-50 pounds; frequent walking throughout the office and records storage areas; ascending and descending stairs; bending, stooping, kneeling, reaching, and standing for extended periods; and maneuvering through filing systems, shelving units, and file cabinets. The position also requires regular organization, retrieval, transport, and storage of physical records and materials, as well as the ability to safely perform repetitive motions associated with filing and document handling in a fast-paced office environment.
MINIMUM QUALIFICATIONS
  • High school diploma or equivalent required
  • Previous clerical, filing, or office support experience preferred
  • Strong organizational and time-management skills
  • Attention to detail and accuracy
  • Ability to maintain confidentiality
