Job description

OVERVIEW:  The Reception & F&I Assistant provides clerical and administrative support and is responsible for providing customers a service which includes the vessel/trailer registration and warranty registration of their new purchase. They will also maintain product files on all inventory and offer support in various areas within the company including F&I and Sales in addition to assisting callers with information, greeting customers and guests, composing and typing correspondence using computer, reading and routing incoming mail, filing correspondence and other records, and other assigned clerical duties.

KEY TASKS:

  • Assist with receptionist area
  • Meet & Greet customers
  • Answer telephone and gives information to callers, take messages, or transfer calls to appropriate individuals.
  • Represent MarineMax when communicating with persons outside the company. Always presents a good impression of the company.
  • Opens incoming mail and routes mail to appropriate individuals.
  • Accurately manage, organize, and update relevant data using database applications.

  • General office duties including copying, collating, faxing, and filing.

  • Receive daily payments and report accordingly. Perform bank deposits.

  • Assist with Boating Gear Center & Fuel Dock Sales & Inventory.

  • Create UPS Shipping Labels.

  • Complete the entire title work process on all new and used vessels and other purchases in a timely manner.

  • Create registration decals for customers.

  • Prepare USCG packages for documentation.

  • Create Trade Packages & file / distribute accordingly.

  • Prepare loan package for immediate funding.

  • Establish and maintain all customer files.

  • Handle calls to and from customers, tag offices and federal offices concerning related issues.

  • Contact lending institutions for customer loan payoffs and follow-up on titles not received.

  • Confirm Wire Instructions w/ remitters.

  • Send original deal files to Team Support for final filing.

  • Assist in the set-up of brokerage transactions in preparation for closing via Yacht Closer.

  • Efficiently respond in an effective manner to a variety of demands and projects.

  • Understand and interpret procedures, policies and guidelines.

  • Other duties as assigned
