  • Vacancy Overview Document Control Coordinator - Houston, TX
    A leading company in the energy and major project environment is seeking an experienced Document Control Coordinator to support the successful delivery of project documentation across complex capital projects.
    This Document Control Coordinator opportunity will focus on managing official project documentation, maintaining accurate records within an electronic document management system, and ensuring effective information flow between project stakeholders and contractors. The Document Control Coordinator will play a key role in document quality control, metadata accuracy, transmittal management, and procedural compliance across technical, commercial, and legal project records.
    Key Responsibilities:
  • Manage all official project documentation, including engineering, technical, correspondence, and project management records, within the document management system
  • Review, classify, and quality check project and vendor documentation for completeness, accuracy, and compliance
  • Maintain and update project records, metadata, document numbering, titles, revisions, and status information
  • Coordinate the transmittal of information between the company and contractors to support efficient document flow
  • Track and expedite the internal review status of project documentation
  • Support consistency of document control processes, training, and procedural enforcement across project teams
  • Assist with supplier and contractor compliance relating to project document management, metadata, and transfer requirements
  • Provide technical support and guidance for the administration of electronic project files and document management processes
  • Help develop and maintain project forms and contribute to process improvements where applicable
  • Assist with training additional project document controllers as required
  • Required Experience:
  • Four to six years of previous document control experience preferred
  • Experience supporting a turnaround/shutdown/outage (TA/TAR/STO) in a plant, refinery, chemical, or LNG site with as a document controller.
  • Minimum of three years administering and using an electronic document management system
  • Proven experience distinguishing between different types of project documentation
  • Experience working within an integrated team environment
  • Ability to manage multiple competing priorities and work to short timeframes
  • Required Skills:
  • Strong knowledge of electronic document management systems
  • Excellent document review, classification, and metadata quality checking capability
  • Strong organisational and methodical approach to document control activities
  • Excellent interpersonal and communication skills, with the ability to interface with colleagues at all levels
  • Proactive mindset with a practical, solution-focused approach
  • Good working knowledge of Microsoft Word, Microsoft Excel, Microsoft Outlook, and Microsoft Access or similar database tools
  • Ability to use filters, searches, wildcards, and reporting functions within database tools
  • Strong computer literacy and understanding of core computer and information system principles
  • Additional Information:
