Job description

At Environmental Air Systems (EAS), we design and build innovative HVAC and mechanical solutions for complex commercial and industrial projects. We are seeking an organized Document Control Coordinator to join our Manufacturing team. In this role you will collaborate with the Quality team members to ensure that EAS- and Client-required Quality and documentation are completed, scanned, and placed in the proper file once completed. You will also assist the Quality Team with daily activities, meetings, calendar-maintenance, training, and access to necessary information.

Job responsibilities:
  • Ensure reports and documentation from the Quality and Production teams meet EAS good documentation practices.
  • Review QC documents for accuracy and completeness.
  • Prepare and analyze reports.
  • Enter data into BIM360, Excel, Microsoft or Google applications, as required.
  • Assist Quality Control Inspectors with inspections and testing, as required.
  • Assist Quality Control Inspectors in taking photographs of in-progress and completed products, as required prior to wrapping and shipping.
  • Ensure all project documentation and photographs are properly filed in the "Project Documentation" folder on the drive, and in BIM 360 if required.
  • Maintain Quality Team's qualification and training file folders.
  • Maintain a Quality Team calendar, including meetings, training, holidays, vacation, etc.
  • Set up team training meetings or events and document such training.
  • Attend and document Quality Team meetings.
  • Maintain or assist Quality team members with BIM360 user access to all current projects.
  • Monitor Quality team's Equipment Calibration Log and ensure equipment is up to date at all times. Work with Procurement to secure calibration certificates on new equipment, and have current equipment sent out for calibration at the appointed time.
  • Assist Manager with daily Exaktime review for accuracy and completeness.
  • Review, verify and document incoming supplier material or equipment, and assist with completion of Equipment Information Log (make/model/serial #) for every project.
  • Gather information and conduct weld-counts in preparation for required 3rd-party Ultrasonic Testing.

EDUCATION / EXPERIENCE:
  • This position requires a minimum of a high school diploma. Associate degree in construction management, welding technologies, electrical engineering, or similar degree is a plus.
  • Must be able to use Microsoft and Google applications and documents.
  • Experience with quality assurance / quality control is desirable.
  • This position will be supported by on-the-job training and continued education training.

JOB REQUIREMENTS/SPECIAL SKILLS:
  • Good documentation and communication (written and oral) skills.
  • Personal computer skills (Microsoft Word, Excel, BlueBeam Revu, Gmail, Cloud-based server use).
  • Ability to coordinate multiple projects, people and functions.
  • Demonstrate problem solving skills individually or with a team to find and accomplish satisfactory end results.
  • Willingness to accept every challenge to meet EAS and client requirements.
  • Willingness to learn the requirements and processes of plant safety, manufacturing and construction requirements.
  • Willingness to spend time in the fabrication plant when required.
