Overview

The Recruiting Assistant/Processor supports the recruiting department by managing application tracking, onboarding processes, and administration functions. The role ensures a seamless experience for new hires and maintains compliance with Cajun's policies and procedures.

Responsibilities

  • Greet and welcome guests and applicants upon arrival
  • Answer, screen, and forward incoming calls
  • Guide applicants to apply online and assist them at the receptionist kiosks
  • Provide accurate information in person, via phone, and email.
  • Manage applicant tracking and onboarding
  • Review and approve new hire and rehire submissions
  • Maintain employee records such as the employee's hiring and termination information
  • Ensure timely completion and compliance of all onboarding documents
  • Scan and upload all onboarding paperwork and documentation into Cajun's HRIS system
  • Follow up with candidates to complete required documentation
  • Notify the recruiting team of any onboarding issues or delays
  • Serve as a liaison between candidates, recruiting, payroll, and HR for onboarding and termination documentation
  • Coordinate new hire orientations with candidates, the recruiting team, and trainers
  • Assist with internal audits and monthly compliance tracking
  • Provide support to the recruiting team as needed
  • Schedule Safety Council courses for current and new employees
  • Send out jobsite arrival emails
  • Send out jobsite arrival text to all employees
  • Coordinate drug screens and physicals for current and new employees
  • Upload required documents to P-Vault
  • Perform Assistant Recruiter duties as needed

Qualifications

  • High school diploma or GED required
  • Strong organizations and communication skills
  • Ability to manage multiple tasks and meet deadlines
  • Experience with HRIS systems is a plus
  • Experience in HR administration or recruiting support preferred
  • Professional demeanor and customer service orientation

Physical

  • Occasionally required to lift up to 25 pounds
  • Regularly required to talk or hear
  • Frequently required to walk, sit, and reach with hands and arms
  • Subject to repetitive use of hands/arms
  • Occasionally required to stand, stoop, kneel, crouch, bend, use hands and fingers to handle and feel
  • Vision requirements include close vision, distance vision, and ability to adjust focus
  • Will need to be able to perform sedentary work
