Job description

About the Role:
Join HIGHLAND PM LLC as a Construction Project Administrator / Construction Accounting Coordinator to support project administration, job cost tracking, subcontract administration, contract documentation, billing, accounts payable, accounts receivable, lien waiver collection, certified payroll tracking, and project closeout for active construction projects. This role works closely with project managers to maintain accurate records, support AIA billing and invoicing, monitor budgets, and help keep multifamily construction projects on schedule and financially organized. 

Responsibilities
·        Prepare, review, and track subcontracts, purchase orders, work orders, change orders, and other construction contract documents.
·        Support construction accounting functions, including accounts payable, accounts receivable, invoice processing, subcontractor pay applications, and AIA billing.
·        Maintain project documentation, job cost tracking, budget updates, cost coding, and profitability reporting.
·        Coordinate subcontractor compliance, including insurance certificates, W-9s, business licenses, lien waivers, and certified payroll records.
·        Assist project managers with administrative support, scheduling coordination, document control, and project closeout paperwork.
·        Ensure accurate and timely recordkeeping for contracts, billing, compliance, and financial reporting across multiple construction projects.
 
Qualifications
·        Associate or bachelor’s degree in accounting, finance, business administration, construction management, or a related field preferred.
·        1–4+ years of experience in construction accounting, project administration, contract administration, bookkeeping, or a similar business support role.
·        Experience with Microsoft Excel, Microsoft Word, invoice tracking, job cost reporting, and document management; Procore experience is a plus.
·        Knowledge of subcontractor compliance, certified payroll, lien waivers, insurance tracking, and construction billing processes preferred.
·        Strong attention to detail, organization, communication, and ability to manage multiple deadlines in a fast-paced construction environment.
