Job Title: Payroll Administrator
Job Description
The Payroll Administrator oversees accurate and timely payroll processing for a large, multi-state employee population. This role reviews time and attendance data, prepares payroll adjustments and commissions, and supports all aspects of payroll processing while maintaining strict confidentiality. The Payroll Administrator works closely with a Payroll Specialist to ensure employees are paid correctly and on schedule, and provides responsive support to employee payroll inquiries.
Responsibilities
  • Review timesheets and attendance records for accuracy and completeness before each payroll run.
  • Send separation request forms to the appropriate division for all separation inquiries and support the Payroll Specialist in obtaining completed separation documents.
  • Calculate payroll adjustments, including overtime, bonuses, and deductions, with guidance and direction from the Payroll Specialist as needed.
  • Prepare and calculate commission payments and review them with the Payroll Specialist prior to upload and processing.
  • Assist with preparing payroll reports and statements for internal review and audit purposes.
  • Respond promptly and professionally to payroll-related inquiries from employees and resolve payroll issues in a timely manner.
  • Reconcile payroll discrepancies and collaborate closely with the Payroll Specialist to research and resolve any payroll-related matters.
  • Assist and support with year-end payroll processing, including the preparation of W-2 and other tax-related forms, and communicate with current and former employees regarding their W-2 inquiries.
  • Maintain confidentiality at all times and ensure the security and integrity of payroll and employee data.
  • Serve as a backup payroll processor to ensure accurate and timely payment of hourly, salaried, and commission-based compensation.
  • Support biweekly payroll processing for multiple payroll cycles, contributing to weekly processing cadence for a workforce of approximately 650 employees.
  • Follow established payroll procedures while demonstrating a willingness to learn and adapt to new processes and system enhancements.
Essential Skills
  • 3+ years of payroll processing experience, preferably in a multi-state environment.
  • Proven experience as a Payroll Clerk or in a similar payroll-focused role.
  • Hands-on experience with biweekly payroll processing and familiarity with multiple payroll cycles.
  • Familiarity with payroll software such as Paycom, UKG, Paychex, ADP, QuickBooks, or similar systems.
  • Proficiency in Microsoft Excel and other standard office software.
  • Exceptional attention to detail and a high degree of accuracy in data entry and calculations.
  • Excellent organizational and time management skills, with the ability to meet recurring payroll deadlines.
  • Strong verbal and written communication skills and the ability to interact professionally with employees at all levels.
  • Ability to handle sensitive and confidential payroll and employee information with discretion and integrity.
  • Demonstrated willingness to learn and be trained on established payroll processes and systems.
Additional Skills & Qualifications
  • High school diploma or equivalent.
  • Additional education in accounting, finance, or a related field is a plus.
  • Experience working with Paycom is highly preferred.
  • Experience supporting payroll for a workforce of approximately 650 employees or similar scale.
  • General understanding of payroll concepts, including overtime, bonuses, commissions, deductions, and year-end tax forms such as W-2.
  • Strong interpersonal skills and a customer-service mindset when addressing employee payroll questions.

Pay and Benefits
