Summary

The Accounting & Payroll Administrator is a detail-oriented and analytical professional who is responsible for supporting core accounting operations while administering accurate and compliant payroll processes. This role contributes to the financial integrity of the company by supporting established accounting practices, internal controls, and payroll administration while ensuring adherence to General Accepted Accounting Principles (GAAP), company policies, and applicable regulations. The A&P Administrator requires sound judgment, initiative, discretion in handling sensitive information, and the ability to juggle competing priorities while providing reliable internal support.

Responsibilities

Participate in the month-end, quarter-end, and year-end closing process

Assist the Accounting Manager and Controller with day-to-day, monthly, and year-end operations

Perform general accounts analysis and reconciliations, including bank statements, fixed assets, accrual, and prepaid expenses

Prepare and reconcile weekly credit card expense reports

Record and verify all transactions related to the Accounts Payable process

Develop and maintain accounting and payroll processes and procedures to improve efficiency

Prepare and process paychecks accurately and on time

Assist in processing wage garnishments and direct deposits for all employees as needed

Prepare periodic payroll reports for review as requested

Enter payroll data into systems to ensure all payroll files are up to date

Maintain accurate records of payroll documentation and transactions

Keep all payroll information confidential, maintaining privacy for employees

Maintain strict confidentiality and handle sensitive employee information with professionalism, accountability, and discretion

Demonstrate strong written and verbal communication skills

Manage multiple priorities, delegate tasks as appropriate, analyze internal and external financial variables, exercise sound judgment, and maintain strict confidentiality

Physical demands include long hours sitting, using a computer, standing, pulling/pushing, walking, lifting, and climbing

Job requires intermediate computer proficiency and advanced critical thinking skills

Other duties, activities and responsibilities may vary and change as assigned

Education and Experience

Bachelor's degree in Accounting, Finance, or other relevant field required

Relevant work experience may substitute for the degree

A minimum of 3+ years' experience in accounting or a related field required

Must have working knowledge in GAAP, finance, budgeting, strategic planning, operational management, and mitigation strategies

Preferred Experience

Experience supporting or processing union payroll, including familiarity with collective bargaining agreements
Experience managing multi-state payroll, including compliance with varying state and local payroll regulations
