Organization:

United Food and Commercial Workers International Union (UFCW) is North America’s neighborhood union; standing together to improve the lives and livelihoods of workers, families and communities. Our members work primarily in the retail food, meatpacking, poultry, food processing and manufacturing and retail store industries.


Location:

Washington DC, near Metro (on-site)

Position Description:

The Canadian Payroll Staff Accountant is responsible for the administration and processing of Canadian payroll operations and the preparation of related financial reports, in accordance with established accounting principles and organizational policies. This position ensures the accuracy, timeliness, and regulatory compliance of all Canadian payroll activities while providing essential support for U.S. payroll functions as required.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Include the following. Other duties may be assigned. This list is not exhaustive and may be supplemented.

Payroll Processing:

  • Administer and process biweekly and monthly Canadian payrolls, including the preparation and distribution of payroll checks in a timely and accurate manner.
  • Prepare payroll journal entries for both Canadian and U.S. payrolls, ensuring the accurate calculation and remittance of payroll taxes, benefits, deductions, and related reporting obligations.
  • Process off-cycle payments and initiate wire transfers as necessary.
  • Address payroll-related inquiries, conduct payroll analyses, and prepare appropriate correspondence to internal and external stakeholders.
  • Maintain comprehensive and confidential payroll records and employee files in accordance with company policy and regulatory requirements.


Compliance and Reporting:

  • Maintain current knowledge of applicable U.S. and Canadian payroll legislation, tax regulations, and compliance standards.
  • Prepare and submit various payroll-related reports for management review and regulatory reporting purposes.
  • Compile, reconcile, and distribute annual earnings statements and statutory tax forms, ensuring alignment with the general ledger.
  • Prepare salary verification letters for U.S. and Canadian employees upon request.
  • Process monthly and annual workers’ compensation filings for both U.S. and Canadian jurisdictions.
  • Complete and submit various tax returns and reports in compliance with statutory deadlines and reporting requirements.

Reconciliation:

  • Perform regular reconciliations of payroll deduction accounts and US & Canadian payroll clearing accounts.
  • Assist with the reconciliation of payroll-related accounts included in Schedules 11 and 12 of the LM-2 report.
  • Responsible for US payroll bank reconciliation and ensures all activity is accounted for monthly, quarterly and annually.
  • Responsible for reconciling the U.S. payroll bank account, ensuring all transactions are accurately recorded and accounted for on a monthly, quarterly, and annual basis.

Backup and Support:

  • Backup the processing of U.S. biweekly payrolls.

Special Projects:

  • Prepare annual automobile schedules for U.S., including answering questions and processing adjustments.
  • Assist with special projects and reports as needed.

Confidentiality:

  • Maintain confidentiality of UFCW records and financial information.

Additional Duties:

  • Supplement the listed duties as required.

QUALIFICATIONS

Education and/or Experience

Bachelor’s degree in Accounting required, or Associate’s degree with five years of progressive accounting experience, or 7-years of related accounting experience including reconciliation. Payroll experience preferred.


Computer/Software Skills

Strong spreadsheet experience is required. Familiarity with ADP & UKG payroll software and Microsoft SL is preferred. Familiarity with Solomon and SAGE Intacct accounting software is preferred.


Communication Skills

Effective and efficient oral and written communication skills.


Other Knowledge/Skills/Abilities Required

Ability to quickly comprehend Canadian and U.S. federal, state and provincial payroll tax law to ensure compliance with various regulations.

Ability to accurately process payroll and related filings in a fast-paced, deadline-oriented and confidential environment.


Strong quantitative skills are required; ability to perform complex account reconciliations.

Strong organizational skills and attention to detail are a must.

Ability to work independently and as part of a team.


Must be able to maintain strict confidentiality of sensitive UFCW records and financial information.


Working Conditions

The work is performed in a normal office environment. The noise level in the work environment is usually moderate. The work atmosphere is fast-paced and deadline-oriented.

Physical Demands

The position involves, but is not limited to, written and oral communications skills, use of computer keyboard, close vision, sitting for long periods, stooping, bending and reaching.



This is an exempt position under the Fair Labor Standards Act (FLSA).

COMPENSATION

Salary Range: $59,585 - $74,632.
