Payroll / Administrative Assistant

In office, full time | Monday?Friday, 7:00 AM ? 3:30 PM | $55,000 ? $65,000 per year

About the Role

Penington Painting Company is a small, close-knit office searching for a seasoned Payroll / Administrative Assistant to manage our payroll and help keep day-to-day operations running smoothly. This is a hands-on role on a lean team. Payroll is the core of the job, but in a small office everyone lends a hand, so we want someone who owns their work and is glad to step in wherever needed when the pace picks up.

We are looking for someone who wants to plant roots. This is a long-term role for a person seeking a stable home and real career growth, not a steppingstone. Our office promotes from within and invests in people who invest in us, and this very opening exists because we grow the people on our team.

What You'll Do

Payroll

? Process weekly multi-state construction payroll accurately and on time, with correct job and phase-code cost allocation across active projects

? Calculate and apply subsistence, per diem, and premium or travel pay per union and project rules

? Handle payroll corrections promptly and accurately

? Manage wage garnishments and Income Withholding Orders (IWOs) in line with state and federal requirements

? Prepare and submit certified payroll (WH-347 and state-equivalent reports) for prevailing-wage and public-works projects, applying the correct wage determinations and fringe rates by classification and jurisdiction

? Maintain union setup and reporting (fringes, dues, and related filings) and support union audits

Administrative Support

? Partner with the Recruitment Specialist on hiring and onboarding

? Help with new hire communication and 90-day check-ins

? Handle employment verifications and unemployment claims

? Coordinate exit paperwork and offboarding

? Act as a point of contact for our field crews

And, on a Small Team

? Pitch in wherever an extra set of hands is needed during busy stretches

What We're Looking For

? 5?8 years of payroll experience, including multi-state payroll

? Certified payroll experience (prevailing wage / Davis-Bacon reporting)

? Someone looking for a long-term, stable role with room to grow

? Sharp attention to detail and the ability to manage your work with little oversight

? A true team player: self-directed, but never "not my job"

? A positive attitude and a steady, dependable presence in the office

? Comfortable in a small-office setting where roles flex

? Union payroll and reporting experience
