Job description

 

Position Summary

The HR/Payroll Administrative Assistant supports a wide range of HR functions, including onboarding new hires, maintaining employee records, coordinating employee engagement initiatives, and assisting throughout the employee lifecycle. This role places a strong emphasis on biweekly payroll processing and serves as a key liaison between HR and employees. The ideal candidate is comfortable working independently, communicates effectively with employees, supervisors, and leadership, and takes pride in accuracy, organization, and follow-through.

 

Duties & Responsibilities

Maintain accurate and up-to-date personnel files, records, documentation, and databases.

Answer employee questions regarding policies, benefits, hiring processes, and other HR-related matters; escalate more complex issues to the HR Business Partner or management.

Process biweekly payroll through ADP Workforce Now, including PTO entry, benefits auditing, payroll corrections, and check distribution.

Complete Forms I-9, verify documentation, and maintain I-9 records.

Coordinate new hire background checks and drug screenings.

Assist with onboarding and offboarding documentation, orientations, training sessions, status changes, benefits materials, and related paperwork.

Assist with recruiting activities and interview coordination.

Help plan and execute employee events, benefits enrollment, organization-wide meetings, employee recognition programs, holiday parties, and retirement celebrations.

Occasional travel is required, including quarterly trips to the San Antonio facility to review HR processes, conduct in-person employee check-ins, and support Open Enrollment.

 

Required Skills

Proficiency with HRIS/payroll platforms, preferably ADP Workforce Now.

Working knowledge of I-9 compliance and employment eligibility verification.

Strong organizational skills with the ability to coordinate HR activities across multiple locations.

Excellent written and verbal communication skills.

High attention to detail, especially with payroll, audits, employee records, and compliance-sensitive documentation.

Ability to maintain confidentiality and handle sensitive employee information with discretion.

Proficiency with Microsoft Office Suite (Excel, Word, Outlook).

Strong time management skills and ability to prioritize in a fast-paced environment.

Collaborative mindset with the ability to work effectively across departments and locations.

Education & Experience

Associate degree and/or related certification preferred.

1–2 years of Human Resources experience.

Basic understanding of HR principles, practices, and procedures.

Hands-on payroll processing experience required.

ADP Workforce Now experience strongly preferred.

Proficiency with Microsoft Office Suite or related software.
