Job Summary

The Payroll Coordinator ensures the accurate and timely processing of assigned payrolls while overseeing the efficient tracking and management of employee time and attendance within the institution's system.

Essential Job Functions and Performance Indicators

The intent of this job description is to provide a representation of the types of duties and level of responsibility that will be required of positions given this title. This job description shall not be construed as a declaration of the total of the specific duties and responsibilities of any particular position. Employees may be directed to perform job-related tasks other than those specifically presented in this description.

Job Responsibilities and Execution

  • Ensures that all computing of wages and withholdings for employees is completed accurately and in a timely manner
  • Monitors payroll adjustments for all promotions, transfers, terminations and newly hired employees
  • Processes off-cycle checks as needed for terminations and discrepancies
  • Maintain compliance with multi-state taxation regulations on assigned payrolls
  • Processes yearly tax forms
  • Assists employees with making tax status and direct deposit changes within Workday
  • Answers questions and assists in resolving employees' payroll-related issues
  • Conducts overtime and timecard audits
  • Ensures that all timecards are completed, approved and submitted for payroll processing
  • Reviews and processes all payroll tax adjustments
  • Maintains payroll-related files and records
  • Conducts various payroll audits and provides reporting as needed
  • Assists approvers with time corrections, time-off entry and any questions related to the timekeeping system
  • Assists the HR division with conducting payroll, timekeeping, compliance, and other operational audits; gathers and analyzes data, prepares reports, and identifies discrepancies
  • Develops and updates SOPs for all processes within the payroll department

Service Excellence

  • Supports the mission of the University and serves as an ambassador of the Q2 culture of service excellence
  • Models, supports, and holds others accountable to the University's values
  • Serves as the primary point of contact for employees answering emails, phone calls, and inquiries in a timely manner

Communication, Teamwork and Collaboration

  • Works closely with the HR Specialists in managing employee and organizational changes.
  • Assists employees and managers with questions about payroll policies and pay discrepancies
  • Provides time tracking training to timecard managers

Job may require other duties as assigned.

Required Qualifications - An equivalent combination of education, training and experience will be considered. Additional requirements may be designated by position.

  • Bachelor's degree
  • Minimum of 3 years payroll experience
  • Experience with Workday Payroll or a similar system preferred
