What you'll do and what you'll bring:

Position Function: Organize, coordinate, and provide administrative and secretarial support for the assigned Directors of Development; communicate with major donors, organizations, and university offices; maintain and update confidential information.


Duties & Responsibilities:

1. Provide administrative and secretarial support for assigned Directors of Development; compose, format, and prepare general office correspondence, reports, agendas, and proposals; provide general office and reception support; answer phones; greet visitors; copy documents, open and prioritize mail; organize Director's filing systems.


2. Schedule and arrange meetings for assigned Directors of Development with donors/prospective donors and university administrators; maintain extensive, detailed calendar.


3. Prepare itinerary and secure travel arrangements for assigned Directors of Development for purposes of meetings, donor cultivation, and stewardship; coordinate all travel details; process travel authorizations; compile and submit expense reports.


4. Compile and submit weekly and monthly activity/fundraising reports for assigned directors.


5. Research donor information using university databases (Reeher, Blackbaud/NXT, Chrome River, Microsoft Office/Excel, internet search engines); compile information and produce reports; enter interactions in databases; maintain confidentiality.


6. Coordinate and arrange on and off campus donor related functions involving university personnel, volunteers and major donors.


7. Contact and provide detailed information to donors/prospective donors and campus personnel regarding gifts, contributions, and campaign needs; answer questions and generate correspondence; prioritize major projects.


8. Enter purchase orders in JAGGAER.


9. Provide back up support for other development assistants.


10. Perform other related duties as assigned.


11. Maintain regular and predictable attendance.


Minimum Qualifications:

  • Associate's degree OR:
    1. An equivalent combination of two years of education and related experience in secretarial science, office administration, or related field OR
    2. Two years of related experience in secretarial science, office administration, or related field.
  • One year of secretarial, office, or related experience.

Preferred Qualifications:

  • Bachelor's degree
  • Additional administrative or database experience; efficient in Microsoft Office applications including Word, Outlook and Excel; prior Ball State experience; experience working with clients or donor relations.
