Job description

The Opportunity:
The RFP Analyst plays a key role in helping Avantor win contracts. This role is responsible for preparing, coordinating, and managing bids, tenders, or proposals in response to requests for proposals (RFPs), requests for quotations (RFQs), or other procurement solicitations. This role is responsible for the overall completion of the bid from start to finish.
What we're looking for
  • Education: Bachelor's degree or equivalent training in business, marketing, or sales functions, or equivalent work experience
  • Experience: 3-5 years' experience in bid or proposal management, sales, or procurement required
    • Skills: Advanced Excel proficiency required
  • Collaboration Tool:
    • Advanced proficiency in Microsoft Word, including formatting, proofreading, and integrating graphics, along with strong overall skills in Microsoft Office
  • Preferred Qualifications:
    • Strong experience working with RFPs and communicating with all levels of management
    • Experience in project management
    • Knowledge of contracts/legal language

How you will thrive and create an impact
Serves as the primary partner to Sales Management on strategic RFPs, collaborating across teams and managing complex deadlines to ensure accurate, complete, and timely submissions. This role also supports profitability goals and coordinates closely with global team members to drive all aspects of the RFP and bid process.
  • Reviews, prepares, & processes global and high profile complex formal RFPs
  • Assess requirements and compliance guidelines of RFPs
  • Facilitates RFP kick-off calls and additional implementation calls with business owners and leadership
  • Coordinates response material from all pertinent parties and departments (i.e. Sales, Contracts & Pricing)
  • Cross references product matches to provide equivalent or alternative product solutions to the customer
  • Reconciles the pricing and units of measure (quantities) for final document presentation
  • Create and Manipulate large data sets within Excel Spreadsheets (V-Lookup, Pivot Tables, etc.)
  • Analyzes complex RFP's with account owners to ensure margin protection and ability to comply upon contract award. This would include compilation and manipulation of historical data
  • Ensure critical RFP deadlines are met and the RFP submission is complete and without errors
  • Contacts customers and vendors to collect information and respond to inquiries when necessary
  • Monitors RFP/Bid mailbox and serves triage role, assigning tasks to appropriate person
  • Acts as liaison and support for associates in Coimbatore office who are handling daily Bid workload
  • Works closely with Contracts team regarding legal matters and advises team accordingly
  • Use of RFP Evaluation Chat GPT in support of proposal writing
  • Recaps processed proposals for win/loss status
  • Utilizes Microsoft Teams to record daily RFP and Bid activity
  • Assist with Training of new Bid Coordinators on RFP Process and Excel Skills
  • Performs other duties as assigned

Pay Transparency:
The expected pre-tax pay for this position is
$62,500.00 - $100,625.00
Actual pay may differ depending on relevant factors such as prior experience and geographic location.
