About the Role
FieldAI is looking for a highly organized, systems-minded, and execution-focused Recruiting Operations Coordinator to help scale world-class hiring operations across the company.
This is not a traditional scheduling-only coordinator role. We are specifically looking for someone who is a true Lever power-user and can own the operational backbone of recruiting while also delivering an exceptional candidate experience.
You will serve as the operational engine behind recruiting at FieldAI - managing complex interview coordination, optimizing ATS workflows, maintaining pristine recruiting data, and helping build scalable hiring infrastructure as we grow rapidly.
The ideal candidate thrives in high-velocity environments, obsesses over details, anticipates problems before they happen, and genuinely enjoys building efficient recruiting systems that enable teams to hire exceptional talent quickly.
This role is highly cross-functional and visible, partnering closely with recruiters, hiring managers, executives, HR, and candidates across the company.
What You'll Do
Recruiting Coordination & Candidate Experience
  • Own end-to-end interview scheduling across multiple teams, functions, and time zones
  • Coordinate complex onsite, virtual, executive, and panel interview loops with speed and precision
  • Deliver a high-touch, white-glove candidate experience throughout the entire journey
  • Manage interview logistics, travel, confirmations, candidate communications, and last-minute changes calmly and professionally
  • Ensure interviewers and hiring teams are fully prepared with schedules, scorecards, and interview context
  • Partner closely with recruiters throughout the full candidate journey and serve as a liaison between recruiting and onboarding to ensure a seamless hiring experience
ATS Ownership & Recruiting Operations
  • Serve as a primary owner and administrator of Lever, ensuring clean workflows, accurate data integrity, and operational excellence
  • Build, optimize, and maintain interview stages, workflows, templates, forms, scorecards, tags, and reporting structures, in collaboration with Recruiters
  • Partner with Recruiters and HR to improve ATS architecture, automation, reporting, and process scalability
  • Audit recruiting data regularly to maintain accuracy, compliance, and operational consistency
  • Identify inefficiencies and proactively implement process improvements that increase recruiter and hiring manager velocity
  • Support recruiting analytics, pipeline reporting, and hiring funnel visibility
Process Optimization & Program Support
  • Help design and operationalize scalable recruiting processes for a fast-growing organization
  • Coordinate debriefs, hiring calibrations, and offer approval workflows
  • Create and maintain recruiting documentation, playbooks, and operational SOPs
  • Assist with recruiting programs, onboarding coordination, employer branding initiatives, and recruiting events as needed
  • Partner cross-functionally with Finance, IT, Legal, and HR to support seamless hiring execution
What You Bring
  • 2-4+ years of recruiting coordination, recruiting operations, or talent operations experience in a high-growth environment
  • Deep hands-on experience with Lever, including workflow management, scheduling operations, reporting, data hygiene, and ATS process optimization
  • Exceptional scheduling and coordination abilities across complex calendars and stakeholders
  • Strong operational rigor and obsessive attention to detail
  • Experience supporting technical recruiting teams and fast-paced hiring environments
  • Excellent written and verbal communication skills
  • Ability to prioritize dynamically and maintain composure under pressure
  • Strong judgment, professionalism, and candidate-facing presence
  • High ownership mentality with a proactive, problem-solving mindset
  • Comfortable working in ambiguity and building processes from scratch
