JOB SUMMARY
  • Assist in the administration and coordination of construction project documentation.

MINIMUM QUALIFICATIONS
  • High school diploma/GED is required.
  • 2+ years of experience in an administrative office position is required.

PREFERRED QUALIFICATIONS
  • 1+ year of administrative/project support in construction is preferred.
  • 2+ years of Accounts Payable experience is preferred.
  • Strong Excel experience is preferred.

KEY SKILLS & COMPETENCIES
  • Must be able to adapt to a fast-paced environment.
  • Requires strong organizational skills, a high degree of accuracy, and attention to detail
  • Knowledge and understanding of general office procedures.
  • Must have excellent oral and written communication skills.
  • Must have the ability to prioritize and complete multiple projects in a timely manner.
  • Ability to maintain confidentiality is essential.
  • Must be able to work independently with minimal supervision as well as with others and contribute to a team-oriented environment.

JOB RESPONSIBILITIES

  • Provide administrative support to project management team and designated staff.
  • Data entry of Accounts Payable
  • Update the Project Progress Tracking database regularly
  • Coordinate the distribution of project documents to both internal and external parties, as necessary or as appropriate per company procedures
  • Interface with both internal and external individuals involved in projects, such as project team members, owners, general contractors, subcontractors, and vendors
  • Maintain ongoing communication related to projects, respond to inquiries, research and provide information as necessary to ensure smooth administration of projects
  • Utilize company accounting system to enter invoices and purchase orders
  • Perform additional duties and special projects as assigned.
