Project Administrative Assistant

Brayman Construction is seeking a seasoned business professional to join the team in the role of Administrative Assistant located in Felicity, Ohio. This fast-paced and dynamic environment will best suit a candidate with high energy, a flexible and positive attitude, extreme attention to details with the ability to be very organized. The incumbent will be supporting multiple managers in an administrative and operational fashion.

Brayman Construction Corporation is a leading heavy civil and geotechnical contractor with office headquarters in suburban Pittsburgh. Incorporated in 1947, Brayman has grown, diversified, and evolved its construction services from a small bridge and concrete company to a large, nationally recognized provider of complex, heavy civil construction projects servicing both public and private sector clients throughout the Midwest and along the entire east coast. The Company has expertise in a wide variety of projects including large scale complex bridges, deep foundation, marine and dam construction and rehabilitation, complex and heavy steel erection and rehabilitation and demolition services.

Essential Responsibilities for Project Administrative Assistant (varying):

  • Assisting in preparing varied project and non-project correspondence
  • Compiling data provided by managers, supporting multiple activities around the office, providing guidance to project managers and related project staff
  • Initial set up of job files; in addition to continual updating if needed
  • Ensuring proper work and administrative flow between corporate office and individual job sites
  • Coordination of meetings
  • Completing all scanning, copying, faxing, filing, and ordering of supplies/materials as needed
  • Review and maintenance of insurance certificates
  • Processing of purchase orders and subcontract management
  • Must be comfortable working both independently or with managers in order to maximize efficiency of the role
  • Must effectively be able to coordinate between field staff and management staff

Other Skills/Qualifications for Project Administrative Assistant:

  • 3-5 years of recent administrative experience; preferable in a Construction environment.
  • High degree of computer proficiency utilizing Microsoft Office (Outlook, Word, Excel, PowerPoint, OneNote), internet applications, and mobile devices
  • Exceptional proofreading and communication skills (written and verbal), organizational and interpersonal skills, time management, and goal setting abilities
  • Strong decision-making and problem-solving skills and a strong attention to detail are a must
  • Ability to anticipate the needs of the managers while prioritizing time efficiently
  • Experience with Agreement/ Contract Routing
  • Experience with Data Entry

Physical Demands for Project Administrative Assistant:

  • Stands frequently and walks about the work areas
  • Occasionally stretches up and across when completing daily tasks
  • Squatting, crouching, or kneeling may be required occasionally.
  • Twisting the body or neck may be required occasionally.
  • Bending is occasionally required to facilitate the lifting of items used daily
  • The employee must be able to perform the physical demands of the job with or without reasonable accommodation.

Educational Qualifications for Project Administrative Assistant :

  • High School diploma required
  • At least two years' minimum of related experience in an administrative assistant role required.
  • Must be a self-starter and able to function well in a high-paced and, at times, stressful environment.

SAFETY SENSITIVE POSITION

This is a Safety Sensitive Position requiring work on project sites, including federal projects. This position may require working at heights, in confined spaces, around heavy equipment, around high voltage, and under constantly changing circumstances. This position will be subject to more stringent drug testing and compliance policies associated with our status as a federal contractor.
