Project Administrative Assistant

Salary: $55,000 – $60,000 Annually

We are a nationally recognized luxury hospitality design and branding firm specializing in boutique hotels, rooftop venues, restaurants, and private member spaces across the country. Our team combines architectural design, custom fabrication, lighting, and sensory storytelling to create environments that feel both elevated and unforgettable.



We are currently seeking a Project Administrative Assistant to join our growing team! In this role, you will serve as a key point of contact for clients, helping manage project communication, coordinate timelines and deliverables, and provide updates throughout the design process.

What You’ll Do


  • Oversee day-to-day client inquiries and ensure timely, professional responses that maintain a high-touch service experience
  • Act as the primary liaison between clients, designers, and project managers to ensure clear and consistent communication across all project phases
  • Track project milestones and proactively flag risks, delays, or scope changes to internal leadership
  • Prepare and maintain client-facing documentation, including status reports, meeting summaries, and presentation materials
  • Coordinate scheduling for client meetings, design reviews, site visits, and installation timelines
  • Support onboarding of new clients by organizing project kickoffs and outlining workflow expectations
  • Manage revisions and approvals process for design concepts, materials, and deliverables


What We’re Looking For


  • 1+ years of administrative or customer service experience
  • Strong capability to handle multiple cases while prioritizing effectively in a fast-paced setting
  • Basic computer skills, including email, word processing, and spreadsheets
