We are seeking a highly organized and proactive Administrative Assistant to join our team in Elgin, IL.
This role serves as a central point of support for office operations, executive administration, and human resources. The ideal candidate is detail-oriented, professional, and enjoys working in a fast-paced, collaborative environment where no two days are the same.
Responsibilities
- Provide day-to-day administrative support to ensure efficient office operations.
- Coordinate calendars, meetings, conference rooms, travel arrangements, and accommodations for employees and visitors.
- Prepare, edit, and organize reports, presentations, correspondence, and other business documents.
- Maintain accurate filing systems, databases, spreadsheets, and company records.
- Support HR with new hire onboarding, including preparing onboarding materials, scheduling orientation, and coordinating first-day logistics.
- Complete and maintain Form I-9 employment eligibility verification and ensure compliance with required documentation.
- Coordinate pre-employment background checks, drug screenings, employment verifications, and new hire paperwork.
- Assist with special projects and perform additional administrative duties as assigned.
Qualifications
- 1+ years experience in an administrative, office support, or HR focused role.
- Exceptional organizational skills with strong attention to detail and accuracy.
- Ability to handle confidential information with professionalism and discretion.
- Strong written and verbal communication skills with a customer-service mindset.
- Proficiency in Microsoft Office Suite, including Excel, Outlook, and Word.
- Ability to prioritize multiple tasks and adapt in a fast-paced environment.
