About the Role We are seeking a highly organized and proactive Project Administrative Assistant to support our construction project managers and field teams. This role plays an important part in coordinating project documentation, tracking progress, supporting compliance, and ensuring smooth day-to-day operations across active job sites.

Responsibilities

Provide administrative support to the construction and project management teams

Assist with preparing and maintaining project schedules, submittals, and RFIs

Organize and manage project documentation including contracts, permits, drawings, change orders, safety forms, and close-out documents

Track and maintain logs for submittals, daily reports, safety documentation, and project progress

Coordinate meetings, prepare agendas, take notes, and distribute minutes

Support procurement activities such as purchase orders, vendor forms, and materials tracking

Assist with timecard collection, labor reports, and daily manpower records

Maintain communication with subcontractors and vendors as needed

Help ensure compliance with company safety policies and project requirements

Prepare spreadsheets, project binders, and documentation packages for clients, inspectors, and internal teams

Provide general administrative support including filing, scanning, travel arrangements, and correspondence

Assist with onboarding paperwork and documentation for on-site personnel

Perform other project-related and administrative tasks as assigned

Qualifications

High school diploma required; associate or bachelor’s degree preferred

1–3 years of administrative experience in construction or a related field

Strong understanding of construction terminology and project workflows

Excellent organizational and multitasking skills

Strong verbal and written communication abilities

Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint)

Ability to read or reference construction drawings (preferred but not required)

Strong attention to detail with the ability to meet deadlines

Ability to maintain confidentiality and handle sensitive project information
