Position Summary

The Business Process Specialist is responsible for documenting, maintaining, and improving organizational processes to ensure consistency, efficiency, and compliance across the business. This role partners with stakeholders to create and maintain standard operating procedures (SOPs), process maps, workflows, templates, and related documentation. The position also serves as the coordinator and process owner for selected operational workflows, including the contractor engagement lifecycle, ensuring processes are executed consistently and effectively across departments. 

**This position is not available to residents of California**.

Responsibilities

Process Documentation 

  • Develop and maintain process documentation, SOPs, workflow diagrams, job aids, and templates. 
  • Establish documentation standards and version control practices. 
  • Maintain a centralized repository of process documentation. 
  • Ensure documentation remains current and reflects operational changes. 

Contractor Process Administration 

  • Coordinate the contractor engagement process from request through offboarding. 
  • Maintain process documentation, forms, and approval workflows related to contractor engagements. 
  • Partner with HR, Finance, Legal, Procurement, and hiring managers to ensure process adherence. 
  • Track contractor requests, renewals, extensions, and offboarding activities. 
  • Identify opportunities to simplify and improve the contractor experience while maintaining compliance. 

Process Improvement 

  • Gather feedback from stakeholders on process effectiveness. 
  • Identify inefficiencies and recommend improvements. 
  • Participate in projects involving workflow redesign, automation, and operational enhancements. 
  • Support implementation of new processes and procedural updates. 

Knowledge Management 

  • Organize and maintain business process documentation and related resources. 
  • Support onboarding by ensuring process information is accessible and easy to understand. 
  • Promote consistent adoption of documented procedures throughout the organization. 

Miscellaneous 

  • Perform miscellaneous duties, as assigned.

Qualifications
  • Proficiency in creating and maintaining standard operating procedures (SOPs), workflows, process maps, and job aids. 
  • Proficiency using Microsoft Office Suite, particularly Word, Excel, and PowerPoint. 
  • Proficiency with SharePoint or other document management systems. 
  • Ability to create workflow diagrams using Visio, Lucidchart, or similar tools. 
  • Knowledge of document control, version management, and record-retention practices. 
  • Strong business writing and documentation skills. 
Education and Work Experience
  • Bachelor's degree in Business Administration, Operations Management, Communications, Information Management, or a related field preferred. Will consider candidates with a high school diploma and at least 7 years of experience in a related field.  
  • Minimum of 3 years of experience developing process documentation, standard operating procedures (SOPs), workflows, job aids, or related operational documentation. 
  • Experience working with document management systems, knowledge repositories, or process governance frameworks preferred. 
  • Experience collaborating across multiple business functions to gather requirements and maintain documentation, preferred.
  • Experience working with AI tools or a demonstrated willingness to learn.  
Physical and Mental Demands
  • Up to 5% travel may be required.
  • Work normal business hours and extended hours when necessary.
  • Remain in a stationary position, often standing or sitting, for prolonged periods.
  • Regular use of office equipment in a remote environment such as a computer/laptop and monitor computer screens.
  • Dexterity of hands and fingers to operate a computer keyboard, mouse, and other computer components.   
Total Rewards

The pay range for this position is $73,875 - $84,686 /Yr.

Final pay is based on several factors including but not limited to internal equity, market data, and the applicant's education, work experience, certifications, etc.
