Job description

Position Summary
The Process Documentation Specialist is responsible for building and maintaining a scalable, centralized source of truth for company policies, procedures, SOPs, and key operational documentation.
This role partners with department leaders to standardize documentation, improve access to organizational knowledge, support accreditation-readiness activities, and communicate important process and policy updates across the company. The position will also lead implementation of Masset, or a comparable AI-enabled documentation platform, to make company knowledge easier to find, use, and maintain.
Essential Duties and Responsibilities
Process Documentation & Knowledge Management
  • Develop and maintain a centralized company intranet or SharePoint-based resource center for policies, procedures, SOPs, templates, and operational reference materials.
  • Partner with cross-functional leaders to collect, organize, format, and publish documentation using consistent standards and templates.
  • Establish practical documentation governance, including ownership, version control, review cycles, approval workflows, and archival processes.
  • Drive departmental adoption of documentation standards and workflows; help leaders translate informal or tribal knowledge into usable, sustainable processes.
  • Identify documentation gaps, outdated content, duplicate materials, and process inconsistencies; coordinate updates with accountable teams.
  • Monitor content usage, feedback, and documentation quality to continuously improve the company's knowledge-management practices.

Technology & Platform Implementation
  • Lead implementation and adoption of Masset or another AI documentation tool, including content preparation, configuration support, user enablement, and ongoing maintenance.

Accreditation Documentation
  • Own tracking, organization, and maintenance of required accreditation documentation in partnership with relevant operational and clinical stakeholders.

Change Management & Communication
  • Launch and manage the monthly Change Management newsletter, communicating material process, policy, and operational changes across departments.
  • Create clear, accessible communications that help employees understand what changed, why it matters, and where to find the current process.

Required Qualifications
  • 3+ years of experience in process documentation, knowledge management, project coordination, operations, quality, compliance, or a related role.
  • Demonstrated experience creating, organizing, and maintaining policies, procedures, SOPs, and internal resource libraries.
  • Experience building or administering SharePoint, an intranet, or a comparable knowledge-management platform.
  • Strong writing and editing skills, with the ability to convert complex processes into clear, user-friendly documentation.
  • Excellent organization and project-management skills, including the ability to manage multiple workstreams, deadlines, and stakeholders.
  • Strong change-management and interpersonal skills; comfortable working with department heads to secure alignment and adoption.
  • High attention to detail, sound judgment, and a proactive approach to identifying and resolving documentation gaps.
  • Proficiency with Microsoft 365 tools, including SharePoint, Teams, Word, Excel, and PowerPoint.

Preferred Qualifications
  • Familiarity with AI-enabled documentation, enterprise search, knowledgebase, or workflow tools is strongly preferred.
  • Experience supporting healthcare operations, accreditation, compliance, clinical documentation, or regulated environments is preferred.

Physical and Work Requirements
This is a remote position requiring prolonged periods of computer-based work, virtual meetings, document review, written communication, and use of Microsoft 365 and other documentation platforms.

Pay Rate / Salary Range: $28.00 - $32.00 Hourly
Job Type: Part-time to Full-time
Schedule: Standard Business Hours / As scheduled based operational needs
