Job description

Position Summary
Own the design, ongoing maintenance, and document control of Standard Operating Procedures (SOPs) and related process documentation across the organization. Partner with stakeholders to capture accurate current-state processes, create clear and usable SOPs, and keep documentation current as operations, systems, and organizational structure evolve. Support operational excellence, training, compliance, and continuous improvement through well-controlled, high-quality process documentation.
Key Responsibilities
  • Design, write, and maintain Standard Operating Procedures (SOPs), work instructions, job aids, process maps, and related documentation.
  • Conduct ongoing updates and revisions to existing SOPs to reflect process changes, system updates, organizational restructuring, or continuous improvement efforts.
  • Apply strong document control practices including version control, review cycles, approval workflows, and archival of outdated materials.
  • Interview subject matter experts (SMEs) and facilitate discovery sessions to accurately capture current-state processes and business requirements.
  • Create clear current-state ("As-Is") and future-state ("To-Be") process documentation and workflow diagrams.
  • Maintain centralized repositories of process documentation (SharePoint or similar platforms) with consistent organization, naming, and accessibility.
  • Identify process gaps, redundancies, and improvement opportunities during documentation work and escalate or support related continuous improvement efforts.
  • Collaborate with functional stakeholders and field/operations SMEs to ensure documentation is accurate, practical, and usable.
  • Support quality, compliance, audit, and regulatory documentation requirements through controlled and current SOPs.
  • Assist in the development of training materials that are directly aligned with controlled process documentation.
  • Track documentation status, completion, and maintenance metrics to support visibility and accountability.
  • Ensure all documentation follows organizational standards for structure, formatting, language, and governance.

Qualifications
  • BA in Business Administration, Technical Writing, Management Information Systems or similar with proven process documentation/SOP experience
  • Minimum 3 years of relevant experience (5+ years preferred) creating and maintaining process documentation and SOPs, with demonstrated use of process mapping tools (Visio, Lucidchart, or similar).
  • Familiarity with document management systems such as SharePoint (or equivalent).
  • Experience in Lean, Six Sigma, Agile, or continuous improvement environments is preferred.
  • Business analysis, process improvement, or related certifications (CBAP, Lean Six Sigma, BPM, or equivalent) are a plus.

Skills & Abilities
  • Proven experience designing, writing, and maintaining SOPs and process documentation in a structured environment.
  • Strong document control discipline, including version management, review/approval processes, and repository governance.
  • Skilled at interviewing SMEs and translating complex operational workflows into clear, concise, and usable documentation.
  • Advanced proficiency with process mapping tools (Microsoft Visio, Lucidchart, or equivalent).
  • Strong working knowledge of Microsoft Office (Word, Excel, PowerPoint, Outlook) and document management platforms (SharePoint preferred).
  • Excellent attention to detail, organization, and ability to manage multiple documentation projects simultaneously.
  • Clear written and verbal communication skills with the ability to work effectively across all levels of the organization.
  • Comfortable challenging assumptions constructively to improve clarity and effectiveness of documented processes.
  • Ability to work independently while remaining collaborative and responsive under shifting priorities.

Work Environment and Physical Demands
This position operates in a professional office setting, whether on-site or remote. This role routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets.
