Job Summary:

The College of Business is seeking an Executive Administrator to the Dean. This is a full-time (1.00 FTE), 12-month, professional faculty position.

The Executive Administrator to the Dean serves as a strategic partner and operational leader within the College of Business, advancing the Dean's priorities and supporting the effective execution of College strategy, initiatives, and operations. As a member of the College Leadership Team, this position provides executive-level leadership, decision support, and operational oversight by managing executive workflow, coordinating complex priorities, developing administrative systems, and ensuring alignment across College units and university partners. The successful candidate will exercise significant independent judgment, collaborate with leaders across the College and University, and contribute to initiatives that strengthen organizational effectiveness and institutional impact.

Key Responsibilities:

  • Provide strategic leadership and operational partnership to the Dean and College Leadership Team in advancing College priorities, initiatives, and goals.
  • Oversee the operations of the Dean's Office, including administrative systems, workflows, staffing coordination, and process improvements.
  • Manage executive priorities, communications, commitments, meetings, and decision-making processes on behalf of the Dean.
  • Serve as a key liaison and representative for the Dean's Office, fostering collaboration across College units, university partners, and external stakeholders.
  • Provide analysis, recommendations, and policy guidance to support executive decision-making, resource planning, and organizational effectiveness.
  • Lead the development and continuous improvement of administrative processes, systems, and practices that strengthen efficiency, accountability, and institutional continuity.
  • Supervise and develop Dean's Office staff while fostering a collaborative, professional, and service-oriented work environment.
Qualifications:

Required Qualifications:

  • Bachelor's degree and at least five years of progressively responsible experience supporting, managing, and/or leading complex operations, projects, systems, or initiatives in an organizational or higher education setting; or an equivalent combination of education and experience.

  • Demonstrated experience working directly with senior executives and translating leadership priorities into coordinated action, communication, delegation, and follow-through.

  • Experience leading or supervising people, projects, administrative operations, or organizational initiatives, with the ability to manage workflow, assign work, provide guidance, and support staff development.

  • Demonstrated experience designing, maintaining, and improving administrative systems, processes, workflows, documentation, and continuity practices.

  • Experience exercising independent judgment, decision-making, and initiative in complex, high-stakes, confidential, or sensitive situations.

  • Demonstrated ability to manage competing priorities, executive communications, commitments, deadlines, and information flow in a complex organization.

  • Excellent oral and written communication skills, including the ability to create presentations, reports, briefing materials, correspondence, and executive-level communications.

  • Proven ability to collaborate across multiple stakeholders, functions, and organizational levels; build consensus; and foster alignment around organizational priorities.

  • Demonstrated ability to anticipate needs, identify emerging issues, solve problems, and maintain effectiveness in a fast-paced environment.

  • Experience handling highly confidential and sensitive information with professionalism and discretion.

  • Proficiency with productivity, communication, scheduling, information-management, and administrative systems.

  • Demonstrated commitment to educational equity and to advancing the participation of diverse groups and supporting diverse perspectives.

This position is designated as a critical or security-sensitive position; therefore, the incumbent must successfully complete a criminal history check and be determined to be position qualified as per University Standard: 05-010 et seq. Incumbents are required to self-report convictions and those in youth programs may have additional criminal history checks every 24 months.

Preferred Qualifications:

  • Experience supporting a Dean, President, Provost, Vice President, CEO, Executive Director, or similarly senior leader.

  • Experience leading or coordinating executive office operations in a complex organization.

  • Experience developing systems, workflows, and processes that improve organizational effectiveness, continuity, information management, and accountability.

  • Completion of leadership and/or management training or equivalent professional experience demonstrating leadership, strategic thinking, and organizational effectiveness.

  • Experience in higher education, a large public organization, or a similarly complex mission-driven institution.

  • Knowledge of higher education administration and governance frameworks, including policies, compliance requirements, and administrative practices that guide decision-making.

  • Experience supporting budget planning, resource allocation, data analysis, or evidence-based decision-making.

  • Experience supporting donor, alumni, board, industry, or external stakeholder engagement.

  • Demonstrated excellence in organization, decision-making, problem-solving, communication, and professional relationship management.

Working Conditions/Schedule:Normal work schedule is 8 a.m. to 5 p.m., Monday through Friday. Evening hours will be needed intermittently to support events, high-volume work periods, and time-sensitive College activities.
