Job description

Title: EHR Implementation Specialist

Location: New Jersey

Experience: 5+ Years

Education: Bachelor s degree in Healthcare IT, Health Informatics, Nursing, Healthcare Administration, or related field (or equivalent experience).

We are seeking an experienced EHR Implementation Specialist to lead the deployment, optimization, and ongoing support of our internally developed Electronic Health Record (EHR) system. This role will work closely with physicians, clinical leadership, operations, and IT teams to ensure successful implementation, user adoption, workflow optimization, and continuous improvement.

The ideal candidate has hands-on EHR implementation experience, excellent troubleshooting and listening skills, strong physician engagement capabilities, and a proactive mindset for process improvement and automation.

Key Responsibilities

Implementation & Deployment

  • Lead end-to-end EHR implementations across clinical sites in New Jersey.
  • Conduct workflow analysis sessions with physicians and clinical staff.
  • Translate clinical and operational requirements into EHR configuration.
  • Coordinate go-live activities, including onsite support and stabilization.
  • Develop implementation timelines, task lists, and milestone tracking.

Physician & Clinical Engagement

  • Serve as a primary liaison between IT and physicians.
  • Facilitate effective communication with providers regarding system changes, enhancements, and optimization.
  • Gather feedback and convert it into actionable improvements.
  • Provide at-the-elbow support during and post go-live.
  • Build trust and credibility with clinical leadership.

Troubleshooting & Support

  • Diagnose and resolve system configuration, workflow, and user issues.
  • Identify root causes and implement sustainable solutions.
  • Escalate technical issues appropriately while maintaining ownership.
  • Monitor system performance and user adoption metrics.

Process Improvement & Automation

  • Identify opportunities to streamline workflows and reduce documentation burden.
  • Recommend automation strategies (templates, order sets, macros, smart tools, integrations).
  • Collaborate with development teams to prioritize enhancements.
  • Drive continuous improvement initiatives across departments.

Training & Documentation

  • Develop training materials tailored to physicians and clinical staff.
  • Conduct training sessions (in-person and virtual).
  • Create workflow documentation and best practice guides.
  • Support new provider onboarding.

Compliance & Best Practices

  • Ensure implementations align with regulatory requirements (HIPAA, CMS, NJ state guidelines).
  • Promote standardized workflows while allowing specialty-specific customization.
  • Maintain strong data governance and documentation standards.

Required Qualifications

  • 5+ years of EHR implementation experience (provider-facing experience strongly preferred).
  • Proven experience working directly with physicians and clinical leadership.
  • Strong understanding of ambulatory and/or inpatient clinical workflows.
  • Excellent troubleshooting and analytical skills.
  • Strong interpersonal and listening skills.
  • Ability to translate technical concepts into clinical language.
  • Willingness to travel locally within NJ as needed.

Preferred Qualifications

  • Experience with EHR configuration and build.
  • Background in clinical operations or prior clinical experience.
  • Experience with workflow optimization and automation tools.
  • Knowledge of interoperability standards (HL7, FHIR).
