Job Summary
Th e Document Controller is responsible for maintaining organized, accurate, and compliant project documentation while supporting communication between internal teams, clients, and vendors. This role manages document workflows, transmittals, revision control, and reporting activities across multiple projects, including complex and multi-discipline environments. The ideal candidate will have strong experience with Electronic Document Management Systems (EDMS), advanced organizational and analytical skills, and the ability to work independently in a fast-paced setting.
Job Description
  • Maintain organized, accurate, and up-to-date project documentation.
  • Upload and manage documents within the Electronic Document Management System (EDMS).
  • Process incoming and outgoing correspondence, transmittals, and approvals.
  • Ensure all documents comply with formatting standards, naming conventions, revision control, and procedural requirements.
  • Track document status and follow up with stakeholders to ensure timely deliverables.
  • Manage project Master Document Lists (MDL/MDR) and maintain metadata accuracy.
  • Coordinate document reviews between internal teams, clients, and vendors.
  • Prepare project status reports and support audit activities.
  • Execute workflows, approval cycles, and distribution matrices in accordance with project and contract requirements.
  • Support process improvement initiatives and workflow optimization efforts.
  • Lead document control activities for complex or multi-discipline projects.
  • Serve as the primary point of contact for project documentation matters.
  • Provide guidance and mentorship to junior document control staff.
  • Collaborate with Project Managers, Engineering, Quality, Planning, Supply Chain, and other departments to ensure efficient document flow and compliance.
S kills Required
  • 4-6 years of document control experience, including complex project environments
  • Advanced knowledge of EDMS platforms
  • Content Server experience highly preferred
  • High proficiency in Microsoft Excel and Adobe Acrobat Pro
  • Fluent bilingual communication skills in Spanish and English (written and verbal)
  • Strong analytical, organizational, and reporting skills
  • Ability to interpret contract documentation requirements
  • Ability to manage multiple priorities and meet tight deadlines in a fast-paced environment
  • Strong communication, follow-up discipline, and attention to detail
  • Ability to work independently and follow established procedures
Education
  • High School Diploma plus a minimum of 3 years of document control management experience
  • Preferred: Bachelor's Degree in a field related to process management, compliance or coordination. (e.g., Engineering, Business Administration, Information Management, Quality Assurance, Human Resources).
Salary
  • $26 - $33.65 per hour (Compensation is offered based on experience, skills, and market factors)
