Senior Document Controller (Above Ground and Under Ground)
Role Summary
We are currently hiring two Senior Document Controllers for the same major mining capital project. While both positions will follow the same document control standards, processes, and responsibilities, one position will be dedicated to supporting the Underground Team, while the other will support the Surface/Above-Ground Team. Candidates should have experience managing engineering and construction documentation within large, complex capital projects and be comfortable working closely with multidisciplinary project teams in a fast-paced environment.
Key Responsibilities
- Oversee and mentor Intermediate Document Controller(s) (Above Ground / Underground) on day-to-day activities and document control best practices.
- Support the Document Control Manager in developing and implementing document control processes, procedures, and user guides.
- Process incoming transmittals from both internal stakeholders and contractors.
- Process document number requests from internal teams and contractors as required.
- Process document and information requests from both internal and external project stakeholders.
- Upload, file, and maintain electronic project documentation while ensuring accurate metadata population.
- Assist with audits, document reconciliation, cleanup activities, and maintenance of technical and internal libraries, ensuring proper metadata, revision control, and superseding/voiding procedures are followed.
- Support project team members with document control processes and procedures, SharePoint-related tasks, request status updates, and general document management inquiries.
- Work closely with the Document Control Manager and project teams to coordinate and facilitate the turnover of construction and quality records from contractors.
Qualifications
- Minimum 8โ10 years of experience in a document control role supporting major capital projects.
- High School Diploma or equivalent; additional certification in Administration, Records Management, Information Management, or Data Entry is considered an asset.
- Experience working with an Engineering Document Management System (EDMS), with preference given to candidates with SharePoint experience.
- Experience managing engineering, vendor, and construction documents and drawings.
- Experience managing project turnover documentation and construction deliverables, including redlines, walkdown summaries, field records, meeting minutes, and quality documentation, is considered an asset.
- Strong attention to detail with the ability to understand, follow, and enforce document control processes and procedures.
- Proven ability to prioritize multiple tasks and requests while meeting project schedules and deadlines.
- Strong written and verbal communication skills in English.
