Job Title: Document Controller

Location: Muskogee, OK

Pay: $65,000–$70,000 (DOE)

Schedule: Full-Time | Temp-to-Hire

Position Overview:

A growing construction company is seeking a highly organized and detail-driven Document Controller to oversee and manage all project and operational documentation. This role is ideal for someone with exceptional attention to detail who thrives on structure, accuracy, organization, and continuous process improvement. The position will support administrative operations, office management functions, employee onboarding, and project closeout activities while ensuring all documentation is properly maintained, tracked, and audit-ready.


Key Responsibilities:

  • Maintain, organize, and control all project and company documentation (digital and physical files)
  • Ensure accurate version control and proper distribution of contracts, permits, compliance documents, drawings, and job files
  • Coordinate and manage project closeout documentation, including collecting warranties, lien waivers, as-builts, manuals, certifications, and final project records
  • Support onboarding processes, including preparing new hire documentation and maintaining personnel records
  • Oversee administrative office functions to ensure smooth day-to-day operations
  • Track and manage documentation related to job costs, purchasing, and invoicing
  • Coordinate with project managers, vendors, subcontractors, and field teams to collect, verify, and file required documentation
  • Develop and maintain efficient filing systems and document workflows
  • Assist leadership with reporting, compliance tracking, audits, and special projects as needed

Qualifications:

  • Strong administrative, document control, or office management experience, preferably in construction or a blue-collar environment
  • Experience managing project closeout documentation and turnover packages preferred
  • Exceptional attention to detail with the ability to identify discrepancies quickly
  • Advanced proficiency in Microsoft Excel (required)
  • Experience with Google Docs/Google Workspace (a plus)
  • Experience managing onboarding paperwork and compliance documentation preferred
  • Ability to multitask while maintaining a high degree of accuracy
  • Strong communication skills and a proactive, team-oriented mindset
  • Reliable transportation and ability to commute to Muskogee as needed
  • Must be able to pass a background check and drug screen
