Job description

Office Document Controller Utility-Scale Solar PV / BESS Project

We are seeking an experienced Office Document Controller for a major utility-scale Solar PV / BESS renewable energy project.
This role requires a highly organized professional with proven experience in project document control for EPC or large infrastructure projects, preferably within Solar PV, photovoltaic, solar farm, BESS, renewable energy, power generation, or utility-scale construction environments.
Important:
Candidates must have direct and clearly documented experience managing project documentation. Experience in general administration, office support, HR, IT support, or basic filing will not be considered sufficient unless the resume clearly shows formal document control experience for EPC, infrastructure, construction, engineering, commissioning, or Solar PV/BESS projects.
Key Responsibilities:

  • Manage project document control processes for EPC, Owners Engineer, or large infrastructure project scopes.
  • Support engineering, construction, commissioning, QA/QC, and project management documentation workflows.
  • Control and organize technical documents, drawings, specifications, submittals, transmittals, RFIs, TQs, procedures, reports, and project deliverables.
  • Maintain document numbering systems, revision control, approval workflows, and distribution logs.
  • Track document status, review cycles, approvals, comments, and resubmissions.
  • Ensure engineering, construction, and commissioning documents are properly filed, updated, issued, and controlled.
  • Coordinate with engineering teams, site teams, EPC contractors, vendors, subcontractors, commissioning teams, and project stakeholders.
  • Support document handover, closeout documentation, and final project records.
  • Ensure accuracy, traceability, compliance, and timely distribution of project documentation.
Required Experience:

  • Demonstrated experience as a Document Controller, Project Document Controller, Engineering Document Controller, or similar role.
  • Experience in EPC projects or large infrastructure projects.
  • Strong familiarity with document numbering systems, revision control, document registers, approval workflows, and controlled distribution.
  • Experience supporting engineering, construction, and commissioning documentation management.
  • Ability to manage high volumes of technical project documentation.
  • Experience working with multidisciplinary teams, including engineering, construction, commissioning, QA/QC, HSE, and project controls.
  • Strong attention to detail, organization, follow-up, and document accuracy.
Strongly Preferred Solar PV / BESS Experience:

Candidates with direct document control experience on Solar PV / photovoltaic / solar farm / solar panel / BESS projects will be strongly prioritized.
Preferred experience includes documentation related to:
  • Utility-scale Solar PV projects
  • Solar farms / photovoltaic plants / solar panel installation projects
  • BESS projects or Solar PV + BESS integration
  • PV modules, mounting systems, trackers, piles, foundations, inverters, DC/AC systems
  • MV/HV systems, substations, POI works, grounding, and protection systems
  • IFC drawings, redlines, as-builts, specifications, vendor documents, and technical submittals
  • Construction documentation, commissioning documentation, energization records, SAT/FAT records, and project closeout packages
Preferred Systems / Tools Experience:

  • EDMS / DMS platforms
  • Aconex, Procore, SharePoint, ProjectWise, or similar systems
