Job description

We are seeking an experienced Document Control Manager to establish, lead, and manage document control and information management activities supporting complex engineering and project operations.
This position will be responsible for ensuring that engineering, procurement, manufacturing, construction, quality, and vendor documentation is properly controlled, accurate, traceable, and maintained throughout the complete project lifecycle.
The ideal candidate will bring strong experience in EPC, Energy, Oil & Gas, Manufacturing, or Construction environments, along with hands-on knowledge of Electronic Document Management Systems (EDMS), document control procedures, team leadership, and project turnover.
Key Responsibilities
  • Lead and manage day-to-day Document Control and Information Management activities.
  • Oversee the complete document lifecycle, including receipt, review, processing, distribution, revision, retention, archiving, and final disposition.
  • Develop, implement, and continuously improve document control procedures, standards, workflows, and work instructions.
  • Maintain accurate document registers, logs, metadata, revision history, and distribution records.
  • Administer and support Electronic Document Management Systems (EDMS) and related platforms.
  • Ensure proper document numbering, naming conventions, version control, and approval workflows.
  • Manage and mentor Document Control personnel, establish priorities, and ensure project deadlines are met.
  • Coordinate documentation requirements with Engineering, Procurement, Project Management, Quality, Construction, contractors, and vendors.
  • Monitor document quality and compliance with company, project, contractual, and regulatory requirements.
  • Conduct document control audits and identify opportunities for process improvement.
  • Establish and monitor KPIs and performance metrics related to document processing, quality, and turnaround times.
  • Support vendor documentation and resolve documentation discrepancies.
  • Coordinate final documentation, project closeout, and handover/turnover activities.
  • Provide training and guidance to employees, contractors, and project stakeholders regarding document control procedures and systems.
Qualifications
  • Bachelor’s degree in Business Administration, Information Management, Engineering, or a related field preferred. Equivalent relevant industry experience may be considered.
  • Minimum 5–8 years of progressive Document Control or Information Management experience.
  • At least 1–3 years of supervisory, lead, or management experience.
  • Previous experience supporting EPC, Energy, Oil & Gas, Manufacturing, Construction, or other project-driven environments strongly preferred.
  • Strong working knowledge of Electronic Document Management Systems (EDMS) such as SharePoint, Documentum, Aconex, or similar platforms.
  • Experience managing engineering, vendor, procurement, construction, and project documentation.
  • Strong understanding of document lifecycle management, revision/version control, workflows, audits, quality control, and project handover.
  • Proficiency with Microsoft Office, Excel, and SharePoint.
  • Strong organizational skills with the ability to manage multiple priorities and project deadlines.
  • Excellent communication, leadership, and cross-functional collaboration skills.
