Administrative Assistant

We are looking for a motivated Administrative Assistant that will perform clerical and administrative duties to support a team of Franchise Developers and leaders across multiple brands. This position will collaborate with all departments and concepts as needed in the spirit of teamwork with the primary goal to support the Franchise Development team as we sell franchises.

  • Assist and support Franchise Developers with day-to-day operations (manage time-sensitive paperwork)
  • Update reports daily, weekly, and monthly
  • Run demographic, background, and credit reports
  • Book air travel and hotel rooms for team members
  • Book hotel rooms for guests
  • Perform a variety of clerical duties such as typing, proofreading, and sorting mail
  • Order supplies for office and other events
  • Assist with Meet the Team Day and other special events (handle prep work, setup room, order food, etc) with occasional travel (2-3 times a year max)
  • Submit expense reports and invoices for Franchise Developers and leaders
  • Participate in daily, weekly, monthly meetings for specific brands and team
  • Type memos, correspondence, reports, and other documents
  • Successfully communicate and work with brand presidents, officers, external contacts, and internal departments to perform responsibilities.
  • Perform other duties as required. These duties may include assignments in job classifications other than their own

What does success look like?

  • Provides exceptional administrative support to Franchise Developers and leadership by managing schedules, travel arrangements, reports, expenses, and critical documentation accurately and on time.
  • Serves as a dependable partner to the Franchise Development team by proactively anticipating needs, prioritizing competing requests, and ensuring deadlines are consistently met.
  • Maintains accurate records, reports, demographic data, background checks, credit reports, and other business-critical information with a high degree of attention to detail.
  • Builds strong working relationships with franchise candidates, franchise owners, internal departments, and leadership through professional communication, responsiveness, and a customer-service mindset.
  • Successfully coordinates meetings, Meet the Team Days, travel logistics, and special events, ensuring a seamless and professional experience for both internal and external stakeholders.
  • Demonstrates initiative by identifying process improvements, leveraging technology and AI tools where appropriate, and helping the Franchise Development team operate more efficiently.
  • Operates with a high level of organization, discretion, and accountability while managing multiple priorities in a fast-paced, deadline-driven environment.

Education:

  • High School Diploma or General Education Degree "GED" is required, at least 2 years of college preferred
  • 1 or more years of administrative or related experience in a fast-paced environment

Schedule / in-office requirements:

  • Hybrid working model; Monday, Tuesday, Thursday in office, Wednesday/Friday from home.
  • Our office location is: 1010 North University Parks Dr. Waco, TX

Physical Requirements:

The physical demands described here are representative of those that must be met by an Associate to successfully perform the essential functions of this job. The Associate should be able to stand, sit in an office space, lift 25lbs on occasion, communicate, lift computer equipment, supplies, and materials, and use office equipment and computers. The Associate is exposed to typical office working conditions, as well as conditions in a workshop environment. The Associate must be able to lift and climb ladders, handle glass and related materials, and carry all needed equipment to perform measurements and design assessments.
