Program Coordinator

The Program Coordinator supports the Program Manager and project teams by overseeing project documentation, coordinating financial and operational workflows, and ensuring accurate communication across stakeholders. This role is responsible for maintaining systems, monitoring progress, supporting reporting activities, and helping ensure projects align with schedule, budget, and quality expectations.

Key Responsibilities
  • Support the Program Manager with ad‑hoc requests related to sales order management, Smartsheet administration, configuration, and general program operations.
  • Set up and maintain project management and collaboration platforms such as Procore or other designated systems for each project.
  • Perform data analysis to verify that system information accurately reflects real‑time manufacturing progress.
  • Assist in preparing, updating, and communicating project reports, including gathering current financial KPI data.
  • Record and track project or site change orders, ensuring actions are assigned, communicated, and reviewed consistently.
  • Establish and manage coordinated processes for recording manufacturing progress to support accurate invoicing and revenue recognition.
  • Maintain effective communication channels with project representatives and stakeholders to identify deviations from project plans and escalate issues to the Program Manager.
  • Contribute to developing a standardized data center project life cycle and repeatable processes for future projects.
  • Support Program Managers by identifying essential project information, records, and procedural requirements.
  • Ensure all project records are properly uploaded into the project intranet and designated project management systems; identify and flag gaps in documentation quality.
  • Ensure workflow processes are followed when documentation is exchanged between internal departments.
  • Coordinate project finance meetings, including scheduling, attendee communication, and conflict resolution.
  • Track project cost, budget, and revenue across original, current, and forecasted values for assigned infrastructure projects.
Skills & Qualifications
  • 7–10 years of experience in project, manufacturing, or construction management.
  • Advanced proficiency in Microsoft Word, Excel, PowerPoint, Outlook, and SharePoint.
  • Experience with ERP and/or CRM systems is highly desirable.
  • Knowledge of Smartsheet and Power BI is a plus.
  • Strong organizational, prioritization, and coordination abilities.
  • Demonstrated ability to deliver prompt, customer‑focused service and maintain strong professional relationships.
Education
  • Bachelor’s degree in Business, Finance, or Project Management.
