Program Development Coordinator

Examinetics is looking for a detail-oriented and proactive individual to join our team as a Program Development Coordinator! This position will be an in office role at our corporate office in Overland Park, KS. The Program Development Coordinator is responsible for supporting the creation, planning, and implementation of programs within the organization. This role involves assisting in the development of new programs, coordinating the planning process, managing resources, and ensuring that programs are executed effectively.

Primary Responsibilities:

  • Assist in the design, development, and planning of new programs, ensuring alignment with organizational goals and objectives.
  • Support the creation of program frameworks, defining timelines, resources, and key milestones.
  • Research best practices, trends, and industry standards to contribute to the development of innovative program strategies.
  • Collaborate with internal teams and stakeholders to gather input, define program scope, and set objectives.
  • Coordinate the day-to-day activities of program development, ensuring tasks are completed on schedule and within budget.
  • Track the progress of development stages and program milestones, ensuring deadlines and key deliverables are met.
  • Provide administrative support to program managers and directors, ensuring that necessary resources, information, and logistics are in place for successful program execution.
  • Help ensure that resources (staff, materials, funding, etc.) are appropriately allocated and available to support the development and execution of programs.
  • Assist in the budgeting process, tracking program expenditures, and ensuring that programs are delivered within budget constraints.
  • Monitor resource use and suggest adjustments as needed to maximize program efficiency.
  • Serve as a primary point of contact for program-related communication, keeping internal teams and external stakeholders informed of program status and changes.
  • Assist in creating and distributing communication materials to promote new programs to key stakeholders or external audiences.
  • Schedule and coordinate program-related meetings, ensuring that key stakeholders are engaged and informed throughout the program development process.
  • Maintain thorough documentation of program development processes, including planning, decision-making, and any changes or adjustments to the program scope.
  • Prepare and deliver regular reports to senior leadership, summarizing program development progress, challenges, and upcoming activities.
  • Support the creation of program proposals and presentations for stakeholders or external parties.
  • Identify potential risks and issues that could impact program development, and work proactively to mitigate or resolve them.
  • Monitor program progress to identify any potential delays or obstacles, ensuring they are addressed quickly and efficiently.
  • Contribute to the evaluation of completed programs to assess their effectiveness and gather feedback from stakeholders.
  • Provide recommendations for improvements in program development processes based on lessons learned from previous programs.
  • Support the refinement of program development methodologies and best practices to increase efficiency and effectiveness.

Qualifications:

Education and/or Experience:

  • Experience in program management preferred.
  • Experience with OSHA regulations preferred.
  • Bachelor's degree in Business Administration, Program Management, Project Management, or a related field preferred.
  • 1-3 years of experience in program development, project management, or a related field.
  • Experience coordinating program activities, managing schedules, and tracking progress.
  • Previous experience working with cross-functional teams and managing resources is a plus.

Skills & Abilities:

  • Strong organizational and time management skills, with the ability to manage multiple tasks simultaneously.
  • Excellent written and verbal communication skills, with the ability to interact with stakeholders at all levels.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with project management software (e.g., Asana, Trello, Microsoft Project).
  • Strong attention to detail and ability to work independently with minimal supervision.
  • Analytical and problem-solving skills, with the ability to identify issues and recommend practical solutions.
  • Understanding of budgeting and resource management in a program development context.
