Job description

Education Program Coordinator

Role overview

This role owns student scheduling and administrative support, including conducting outreach to prospects and clients while managing the calendar end-to-end. You will be the main driver for booking consultations and ensuring students are matched to the right tutor and scheduled or rescheduled correctly for sessions amid frequent schedule changes in a fast paced and dynamic environment.

Core responsibilities

·       Administer outreach to qualified leads to schedule consultations/visits (calls and appropriate follow-up texts/messages).

·       Manage complete scheduling workflows: book, confirm, reschedule, and cancel consultations and tutoring sessions in the scheduling system.

·       Ensure appointment details are accurate and complete (student/grade, subject/test needs, course level, parent/guardian contact info, and internal notes).

·       Pair students to the right tutor based on course difficulty/level and learning goals with help from the Director's guidance (you don’t need to be a subject expert, but you must be familiar with common classes and their difficulty levels).

·       Coordinate dispatching and scheduling for tutor availability and session continuity (avoid conflicts; resolve issues quickly).

·       Serve as administrative support for tutors and the Director/Assistant Director: handle common scheduling questions, session logistics, and required paperwork/processes.

·       Maintain data hygiene: keep lead and student scheduling statuses current; document outcomes and reasons for reschedules/drop-offs.

·       Track scheduling performance and communicate scheduling bottlenecks and upcoming risks to leadership.

Required skills & qualifications

·       Excellent phone and written communication; comfortable speaking with parents/guardians.

·       Strong high school coursework understanding, especially class difficulty levels (e.g., standard vs. honors vs. AP) and how to translate student needs into the right “level” of support.

·       High attention to detail and strong follow-through in a fast-moving scheduling environment.

·       Experience using CRMs/scheduling tools (or strong aptitude to learn quickly).

·       Reliable, upbeat, and organized—able to manage a high volume of outreach and schedule changes.

·       Consultation booking rate and lead follow-up effectiveness.

·       Scheduling accuracy (correct tutor/level/time) and fewer avoidable conflicts.

·       Reschedule turnaround time and reduced scheduling errors.
