Salary: Starting at $18 / hour - depending on experience / education
Job Summary
Provides comprehensive administrative and clerical support to support the efficient daily operations of the Employee Training and Development department. Responsible for engaging positively with and assisting employees at all levels, exercising good judgment and collaborative decision-making, and knowledge of departmental policies and procedures. The Administrative Support Assistant plays a key role in maintaining regulatory compliance of Employee Training Records.
Responsibilities
  • Greets and assists all persons at reception area, with a positive and friendly demeanor.
  • Answers phone calls to the Training Department and assists as necessary or directs calls to the appropriate person.
  • Ensures correct and timely data entry of employee training documentation into the Learning Management System (Relias).
  • Ensures timely filing and storage of all paperwork, training documentation sheets, orientation records, progress sheets, OJT sheets, and other training documentation.
  • Coordinates and completes all Orientation paperwork and documentation in a timely and accurate manner. Follows up on outstanding issues and missing documentation to ensure completion in a timely manner.
  • Registers employees for training classes.
  • Enrolls employees in appropriate training plans, requirements trackers, and modules in the Learning Management System (Relias).
  • Responsible for running and disseminating reports on employee training records and other training reports.
  • Assists in monitoring employee compliance with training plans, certifications, and other areas.
  • Assists with maintenance of the Learning Management System (Relias) at the direction of the Training Manager or Training Director.
  • Ensures that training handouts and materials are copied and stored in an organized manner. Maintains masters for all training materials and documents and updates as needed, to ensure materials are properly formatted, up to date, free of errors, and professionally presented.
  • Assists with licensing and compliance audits and visits.
  • Creates and maintains work processes and trackers to ensure all work is completed.
  • Coordinates reservations of rooms in the Employee Training building, ensuring all necessary information is collected to properly reserve and prepare the space.
  • Assists in the set-up of training rooms for training classes, meetings, and other events, including the set-up of IT and audio visual needs.
  • Acts a resource, providing assistance on matters related to the Employee Training & Development department, such as training requirements, training dates, training classes, and other areas.
  • Ensures the front office, training closets, and other common spaces are neat, organized and free of clutter.
  • Responsible for submitting maintenance requests in a timely manner and following up to ensure completion.
  • Responsible for ensuring supplies are ordered and stocked in an organized manner.
  • Provides clerical and administrative support to all Employee Training and Development staff, as requested.
  • All other duties as assigned.

Qualifications
  • High school diploma plus 3 years minimum experience working in a front desk setting and clerical/data entry experience.
  • Strong organization, time management skills, and attention to detail required. Must be able to manage multiple priorities and adhere to deadlines. Must have exceptional interpersonal, communication skills, and a customer service orientation.
  • Must be proficient in all Microsoft Office software and possess the ability to learn other relevant technology tools.
