Job description

We are seeking a highly organized, detail-oriented, and professional Executive Assistant to provide full-time administrative and clerical support to senior leadership within the Office of the Staff Judge Advocate (55 WG/JA) at Offutt Air Force Base, Nebraska. The ideal candidate will thrive in a structured, deadline-driven environment and possess experience working within a military or Department of Defense (DoD) organization. Essential Duties and Responsibilities Administrative and Office Support • Provide day-to-day administrative support using established principles, concepts, and practices in support of the 55th Wing Office of the Staff Judge Advocate.
• Prepare, edit, proofread, and maintain emails, correspondence, documents, reports, presentations, and briefing materials.
• Prepare meeting minutes and reports and follow up with leadership regarding assigned action items.
• Answer telephone calls, respond to emails, and address in-person inquiries professionally and courteously.
• Provide administrative support for special events, classes, programs, and other office activities as needed.
• Manage calendars, schedule appointments, and coordinate meetings for senior leadership.
• Track deadlines, deliverables, and other time-sensitive requirements to support timely completion.
• Serve as a primary point of contact between leadership and external agencies, facilitating professional communication and coordination.
• Coordinate with installation and community agencies to maintain effective professional partnerships.
• Perform general data-entry duties accurately and efficiently.
• Scan, upload, organize, and maintain electronic records in accordance with Air Force records management policies, including AFI 33-322, and Privacy Act requirements, including AFI 33-332.
• Maintain accurate filing systems and update records in accordance with applicable agency accreditation standards.
• Handle sensitive personnel documents in compliance with applicable laws, regulations, policies, and guidance. Minimum Qualifications • Associate degree in any field required.
• At least one year of clerical or data-entry experience obtained in a professional office environment.
• At least one year of experience working in a military environment.
• Proficiency with Microsoft Office applications, including Microsoft Word, Excel, and PowerPoint.
• Ability to read, understand, speak, and write English fluently and communicate effectively with customers, staff, and leadership in person, by telephone, and in writing.
• Must be a United States citizen.
• Must be able to obtain and maintain a favorable National Agency Check. Preferred Qualifications • Bachelor’s degree in Business Administration, Legal Studies, Communications, or a related field.
• Experience working in a military legal office or Staff Judge Advocate (SJA) environment.
• Experience supporting senior military leadership at the Colonel/O-6 level or above.
• Familiarity with Air Force administrative procedures, military protocol, and correspondence standards.
• Experience using Microsoft Teams and SharePoint for collaboration and document management.
• Active Secret or Top Secret security clearance or prior favorable security adjudication.
• Experience using the Air Force Records Information Management System (AFRIMS) or comparable DoD records management systems. C2 Essentials is an Equal Opportunity Employer.
