Job description

Quarter-End & Year-End Payroll Reconciliation

  • Perform detailed quarterly payroll tax reconciliations for Federal, State, OASDI, Medicare, and applicable local taxes.
  • Validate gross-to-net payroll accuracy and investigate payroll, tax, and deduction discrepancies.
  • Review year-end payroll adjustments to ensure compliance with IRS regulations and proper quarter application.

W-2 Review & Verification

  • Reconcile all W-2 wage and tax reporting, including taxable and non-taxable wages, retirement contributions, benefits, and imputed income.
  • Identify discrepancies before year-end processing and coordinate corrections with district payroll teams.

State & Federal Payroll Tax Reporting

  • Prepare and validate payroll tax reporting files for State and Federal agencies, including EFW2/MMREF submissions.
  • Troubleshoot reporting errors and ensure timely, accurate tax filing acceptance.

District Support & Payroll Training

  • Partner directly with district payroll teams during quarterly close and year-end payroll processing.
  • Conduct payroll reconciliation reviews, documentation walkthroughs, and user training sessions.
  • Provide exceptional customer service while supporting multiple payroll teams throughout implementation.

Payroll Compliance & Audit Support

  • Review retirement and voluntary deduction setups, including TSA, 403(b), and 457 plans.
  • Verify deduction limits, resolve compliance issues, and assist with correction processing.
  • Audit overtime calculations for compliance with bargaining agreements and FLSA requirements.



5+ years of payroll processing, payroll tax, or payroll reconciliation experience.

Strong experience with quarter-end and year-end payroll balancing.

Experience reviewing W-2s, payroll tax reporting, and payroll compliance.

Knowledge of Federal and State payroll tax regulations.

Familiarity with FLSA requirements and retirement plans including 403(b), 457, and TSA deductions.

Experience preparing payroll tax files for State and Federal reporting.

Advanced Microsoft Excel skills, including data analysis and reconciliation.

Excellent analytical, organizational, and problem-solving abilities.

Strong communication and presentation skills with the ability to train and support end users.

Experience supporting multiple entities, school districts, or large organizations is highly preferred.
