Wycallis Primary Center - Part Time Secretary
General Description:
The part-time secretary serves as the assistant to the building secretary and is responsible for all clerical and communication functions assigned. The part-time secretary reports directly to the building administrator(s).
Key Responsibilities and Duties:
The part-time secretary is in charge of recording the daily attendance in the student information management system. They are also in charge of making revisions and updates to the attendance records as needed.
  1. Part-time secretary is responsible for receiving the transportation request forms and inputting that information into the student information management system. They are also in charge of making any changes and revisions as needed.
  2. Answer telephone and transmit information in an approved manner.
  3. Scanning of security cameras and allowing visitors access to buildings; assists with sign-in procedures for all visitors and outside agencies staff.
  4. Perform secretarial functions related to update and maintenance of student records as requested.
  5. Assists in maintaining designated student attendance files and CSIU attendance updates.
  6. Collects daily student notes and compiles the Early Dismissal List and Parent Pick-up List; issues bus passes for any transportation changes.
  7. Signs in late student arrivals and documents verified reason for absence.
  8. Assist with the preparation of teacher, aide, and student information packets for the start of the school year.
  9. Perform duties of the building secretary during lunch hour and days of secretary's absence.
  10. Assist with the distribution of student mailings and any other important documents to be sent home.
  11. Serve as building receptionist by aiding staff, parents, students, and visitors in obtaining information, etc. Distributes items forgotten by students.
  12. Makes copies as requested by staff.
  13. Prepares notices, bulletins, calendars, and forms as requested.
  14. Sort and distribute building mail, notices, bulletins, forms, and materials.
  15. Report necessary repairs of office equipment.
  16. Maintain a neat and professional working area.
  17. Perform, as directed by the administrators, such duties that are consistent with this position.

Education Requirements:
  1. High school diploma
  2. 3 years experience working in a professional setting.
  3. Associate's degree or beyond preferred.

Starting hourly rate is $15.51 per hour for new employees. Eligible for a part-time benefit package according to the current CBA.
