Role Summary


As Operations & Executive Coordinator, you will serve as a central hub across WETโ€™s Legacy / WET Care divisionโ€”bridging manufacturing operations, field service logistics, and executive leadership support. This hybrid role is approximately 80% operations coordination and 20% executive support for a Vice President overseeing manufacturing, maintenance, and global service delivery.

You will coordinate technical service schedules, production-aligned logistics, and project documentation, while supporting executive priorities including planning, communication, and follow-through on key initiatives. This role is ideal for someone who thrives in fast-paced manufacturing or themed entertainment environments and enjoys keeping cross-functional teams aligned and executing at a high level.


Key Responsibilities:


Operations Coordination (โ‰ˆ 80%)

  • Plan and manage complex service schedules, aligning field service activities with manufacturing timelines and project deliverables.
  • Coordinate domestic and international travel, lodging, and field deployment logistics for technicians and engineers, ensuring efficient and cost-effective execution.
  • Partner with Finance to review, process, and track invoices, deposits, purchase orders, and service-related expenses.
  • Maintain accurate contracts, service agreements, and project documentation in collaboration with Legal, Manufacturing, and Operations teams.
  • Capture action items and drive follow-up across cross-functional meetings, including manufacturing, engineering, and client-facing discussions.
  • Support continuous improvement efforts, resource planning, and operational reporting to optimize service delivery and field performance.


Executive Support (โ‰ˆ 20%)

  • Provide direct administrative and project coordination support to the Vice President of Legacy / WET Care.
  • Manage complex calendars, coordinate leadership meetings, and support executive travel aligned with operational priorities.
  • Prepare presentations, reports, and status updates related to manufacturing, service operations, and key initiatives.
  • Track and help execute strategic priorities, ensuring alignment between leadership direction and operational follow-through.
  • Handle sensitive business information with discretion and professionalism.


Qualifications

  • 5+ years of experience in operations, manufacturing, service coordination, or project coordination; experience supporting senior leadership strongly preferred.
  • Strong organizational and problem-solving skills, with the ability to manage competing priorities in a dynamic, operations-driven environment.
  • Effective communicator, comfortable working across shop floor teams, field technicians, engineers, and executive leadership.
  • Demonstrated experience coordinating travel logistics, vendors, and budgets within operational or service-based environments.
  • Proficiency in Microsoft Office (Excel, Outlook, Teams); experience with Smartsheet, QuickBooks, or ERP systems is a plus.
  • Highly reliable, detail-oriented, and proactive, with a hands-on approach to supporting both operations and leadership.
