Sales Operations amp; Executive Support
Chesapeake, VA
Full- time, $95,000-$120,000
Our Sales Operations amp; Executive Support position serves a critical dual-function role supporting both the Sales Operations and the President of the company. This role requires a highly organized, proactive, and detail-oriented professional who can manage competing priorities, has a strong sales foundation, and who can help drive organizational efficiency all while providing high-level executive support to the President.
In this role you will be visible, your impact will be measurable, and your contributions will drive results that impact the entire company.
What youโ€™ll do:
Youโ€™ll sit at the intersection of two of the most strategically important functions in our organization โ€“ driving performance accountability across the sales engine and enabling the President to lead with maximum effectiveness. This position will be responsible for driving sales process discipline, CRM compliance, KPI reporting and customer onboarding coordination while also providing high-level executive support to the President.
CRM Administration amp; Compliance
  • Maintain CRM data integrity and enforce company CRM usage standards
  • Monitor pipeline activity, sales process compliance, and customer data accuracy
  • Support CRM reporting, dashboard management, and KPI tracking
  • Assist sales leadership with forecasting reports and sales analytics
  • Prepare recurring sales reports, dashboards, and executive summaries
  • Track key sales metrics including pipeline activity, close rates, revenue performance, and customer trends
  • Compile operational and sales performance data for leadership meetings
  • Support ad hoc reporting requests from sales leadership and executive management
Sales Process Administration amp; Operations
  • Ensure adherence to established sales processes and documentation standards
  • Coordinate onboarding activities for new sales team members
  • Maintain sales support documentation, templates, and process workflows
  • Support sales meeting preparation, agendas, presentations, and follow-up actions
  • Track commitments, deliverables, and accountability items resulting from sales meetings
  • Assist with customer data management, proposal coordination, and sales documentation
  • Coordinate communication between sales, operations, customer service, and leadership teams
Executive Support
  • Serve as a trusted liaison between the President and internal/external stakeholders
  • Manage and coordinate the Presidentโ€™s calendar, meetings, and scheduling priorities
  • Prepare meeting agendas, reports, presentations, and supporting materials
  • Coordinate travel arrangements, itineraries, and expense reporting as needed
  • Manage executive correspondence and communications professionally and confidentially
  • Track action items, deadlines, and strategic initiatives on behalf of the President
  • Follow up with department leaders to ensure timely completion of commitments
  • Maintain organizational alignment on key initiatives and priorities
  • Organize leadership meetings and executive planning sessions
  • Record meeting notes and distribute follow-up items when appropriate
Qualifications:
  • 5-7 years of experience in sales administration, executive assistant, operations support or related roles
  • Experience within transportation, logistics, warehousing, distribution, or supply chain industries strongly preferred
  • Strong analytical skills with the ability to build dashboards, track KPIs, and create sales forecasting
  • Experience supporting senior executives or business leaders strongly preferred
  • Ability to work onsite from operations in Chesapeake, Virginia and travel to other company locations as needed
  • Excellent written and verbal communication skills with ability to collaborate effectively among cross-functional teams
  • Reliable, self-motivated, and able to work independently with minimal supervision
  • Bachelor's degree in business administration, Logistics, Supply Chain, Sales or related field
