Position Summary 
Responsible for the development, implementation, and ongoing management of document control systems and processes. The Document Control Manager is an individual contributor role that will lead the creation, standardization, and maintenance of controlled documentation across the organization, ensuring accuracy, compliance, and alignment with operational best practices.
 
This role serves as the subject matter expert (SME) for document control systems and processes, partnering with cross-functional stakeholders to drive consistently, minimize disruption, and enable sustainable operational improvements. The position will coordinate and administer document management activities for ISO 9001, including tracking the full lifecycle of documents such as design documents, RFIs, and submittals, while maintaining version control and ensuring document integrity.
 
Role Responsibilities 
Document Control Systems & Governance:
  • Serve as the subject matter expert (SME) for Electronic Document Management System (EDMS) document control platforms (e.g., ACC, SharePoint, ISO Core platform), ensuring proper configuration, governance, and utilization.
  • Establish, implement, and maintain document control systems for all historical, incoming, and outgoing documents across assigned projects and operational functions.
  • Ensure document accuracy, completeness, and compliance with company standards and production requirements.
  • Manage document version control, revision tracking, and archival processes to ensure full traceability across the document lifecycle.
  • Independently manage day-to-day document control activities, including data entry, document routing, and record maintenance.
 
Process Development & Standardization:
  • Own the development, authorship, and continuous improvement of controlled documents, including SOPs, workflows, and process documentation.
  • Collaborate with cross-functional departments and SMEs to ensure documentation reflects current business practices and operational standards.
  • Evaluate existing policies, procedures, workflows, and systems to identify improvement opportunities and implement best practices.
  • Standardize document control processes across projects and departments to ensure consistency and scalability.
Project Document Management:
  • Coordinate and administer document control activities for assigned projects, including document intake, distribution, tracking, and storage.
  • Track the lifecycle of project documentation, including design documents, RFIs, submittals, and revisions.
  • Ensure timely processing, distribution, and retrieval of documents to support project execution and stakeholder needs.
  • Maintain organized and accessible records to support audits, compliance requirements, and operational transparency.
 
Training & Change Management:
  • Partner with functional leaders to create and deploy training materials aligned with document control processes and system updates.
  • Train project teams and new users on document control systems and best practices.
  • Provide coaching and support to leaders and team members to drive adoption, compliance, and long-term sustainability of document control processes.
  • Support organizational change initiatives related to process improvements and system implementations.
 
Performance Monitoring & Continuous Improvement:
  • Establish and monitor KPIs related to document control performance, including process adoption, compliance rates, and system utilization.
  • Provide regular reporting and analysis to leadership, identifying trends, risks, and improvement opportunities.
  • Drive continuous improvement initiatives focused on efficiency, accuracy, and alignment across document management processes.
 
Qualifications 
  • 5+ years of experience in document control, processing documentation, change management, or compliance tracking.
  • Strong writing and analytical skills with the ability to develop clear, structured workflows, SOPs, and technical documentation.
  • Experience managing document control systems and processes in a complex or matrixed environment.
  • Proven ability to lead cross-functional process improvements and drive change adoption.
  • Experience reviewing documents for accuracy, completeness, and compliance with established standards.
  • Proficiency with Autodesk Construction Cloud (ACC), SharePoint, industry-standard EDMS platforms, and Microsoft Office Suite.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines simultaneously.
  • Excellent communication and interpersonal skills, with the ability to work effectively across all levels of the organization.
  • Demonstrated ability to navigate resistance and support teams through change.
Preferred Qualifications: 
  • Experience with ERP/MRP and ISO systems.
  • Experience in manufacturing, construction, or mission-critical environment.
  • Experience serving as a system administrator for platforms such as ACC or similar tools.
  • Bachelor’s degree in a related field or equivalent experience.
  • Strong understanding of technical documentation and industry terminology.
