Job description

The Direct Mail Data Manager is full-time, in office position, that is responsible for managing and improving the data systems, software platforms, and workflow automation that power our direct mail and print production operations. 

This is a hands-on leadership role combining technical implementation, database/data processing management, and production workflow support. The ideal candidate will actively work alongside the production, mailing, and prepress teams to ensure accurate data handling, efficient software usage, and successful execution of complex direct mail campaigns. 

The Manager will oversee the implementation, integration, and optimization of mailing software, data processing systems, variable data printing workflows, and automation tools, while also supporting the production team in solving real-time operational challenges. 

This position bridges IT, production, mailing, and client services to ensure the reliable and efficient flow of data from client files through print and mailing. 

Supervisory of Data Processors and Prepress Operator

Schedule: Monday – Friday, 8am – 4:30pm, In Office, With a 30-minute lunch 

PRIMARY RESPONSIBILITIES 

Leadership and Team Management 

  • Set and oversee daily work assignments, schedules, and work quality of Data and Prepress personnel. 
  • Assign daily priorities and delegate tasks to support efficient workflow. 
  • Perform employment actions, including discipline and termination in accordance with company policy for the Data and Prepress Department.  
  • Provide constructive and timely performance evaluations. 
  • Foster a positive, inclusive, and collaborative team culture. 
  • Support staff development through mentorship, training, and performance improvement plans. 
  • Provide leadership, direction, and support to achieve organizational goals. 
  • Ensure adherence to company policies, quality standards, and safety requirements, and SOC 2 guidelines. 
  • Identify workflow inefficiencies and recommend improvements to enhance customer service, accuracy, and productivity. 
  • Handle any and all Time and Attendance requirements, including timecards. scheduling and time off requests. 
  • Identify opportunities to streamline processes and reduce production bottlenecks. 
  • Evaluate new technology solutions to support operational growth. 
  • Provide training to staff on new tools, workflow updates, and data procedures. 
  • Support special projects or initiatives assigned by executives. 

Mail Data Processing and Preparation: 

  • Manage, process and prepare client mailing lists and data files for direct mail campaigns  
  • Oversee and preform data cleansing, deduplication, NCOA processing, CASS certification, and postal presorting  
  • Ensure all mailing files meet USPS compliance and regulatory requirements  
  • Validate files for variable data printing (VDP) and personalized campaigns  
  • Support data mapping, formatting, and merge logic to ensure accurate production output 
  • Complete additional responsibilities as assigned 

Software and Systems Support: 

  • Implement and maintain software platforms used in print and mailing operations, including mailing software, data processing tools, variable data composition software, and workflow automation systems  
  • Lead with testing, updates, and implementation of system enhancements  
  • Troubleshoot software-related issues in collaboration with vendors and internal teams  
  • Identify and communicate opportunities to improve efficiency in data preparation and workflow processes 
  • Follow established data security and privacy procedures when handling client data 

Production Workflow Execution: 

  • Collaborate with production, prepress, data, and estimating teams to support day-to-day workflow execution and ensure proper job set up 
  • Ensure accurate integration of data into printing and mailing equipment  
  • Support high-volume mail production, including inkjet addressing, intelligent inserting, and variable data printing (VDP)  
  • Perform data validation checks to ensure accuracy and minimize errors in production mailings  
  • Troubleshoot and resolve data or data-related issues that may impact production schedules  
  • Ensure all data and mailing processes comply with USPS regulations, HIPAA, and client-specific requirements 
  • Ensure adherence to internal workflows, company policies, quality standards, safety requirements, and SOC 2 guidelines

  • Exposure to or experience with variable data printing (VDP) workflows

Physical Requirements:

  • Prolongedperiods ofsitting at a desk and working on a computer.
  • Must be able tolift upto 15 pounds at times.
  • Visual ability to read instructions.
