About the Job
We are seeking a detail-oriented and customer-focused Billing Operations Administrator to support a variety of administrative and operational functions. This role is responsible for managing billing-related inquiries and documentation requests while serving as a key liaison between clients and internal teams.
The ideal candidate is resourceful, patient, and a strong problem solver who can navigate cross-functional environments to find answers and deliver exceptional service.
This is a client facing role that will require verbal and written communication answering incoming calls to AR/Billing/Order Operations.
What you will do
Manage and respond to client inquiries, invoice questions, and account-related concerns
  • Prepare and process documentation requests, including, but not limited to:
  • Vendor forms
  • W-9s
  • Tax certificates
  • Certificates of Insurance (COIs)
  • Sole source letters
  • Coordinate with internal collaborators (Legal, Cybersecurity, HR, Sales, Product) to gather required information and ensure accurate responses
  • Track and follow up on requests to ensure timely resolution
  • Support the completion of billing cases and administrative tasks with high attention to detail
  • Maintain organized records and documentation for all transactions and requests

What you need
  • 3+ years of experience in an administrative, billing, or operations support role, with client facing responsibilities
  • Associate's or Bachelor's degree (Business, Finance, Operations) or in a related field
  • Basic understanding of finance or billing processes
  • Strong written and verbal communication skills to effectively engage with clients and internal partners
  • Proven ability to interact effectively with both external clients and internal cross-functional teams
  • Excellent problem-solving skills with the ability to think critically and find solutions independently
  • High level of patience and persistence when navigating complex requests or multiple stakeholders
  • Strong organizational skills with the ability to manage a steady workload and adapt during peak periods
  • Highly Organized/Time management skills
  • Preferred experience in Salesforce, Docusign and PDF Editor software
