Our client, a respected scientific testing laboratory, is seeking a highly organized Billing & Operations Coordinator to support accounting, administrative operations, and internal business processes.
This position is ideal for someone who enjoys wearing multiple hats, thrives in a fast-paced environment, and takes pride in keeping operations running smoothly. You'll work closely with leadership while supporting billing, customer accounts, recruiting administration, and day-to-day office operations.

What You'll Do
Billing & Accounting
Prepare, review, submit, and track customer invoices for laboratory testing services.
Review purchase orders, billing documentation, and client instructions for accuracy and completeness.
Enter and maintain information across internal systems, client portals, and business software.
Reconcile customer accounts and investigate billing discrepancies.
Maintain customer account records, billing notes, credit balances, and tracking spreadsheets.
Respond professionally to billing questions and customer account inquiries.
Follow established procedures while identifying opportunities to improve workflows and efficiencies.
Administrative Operations
Support recruiting activities including candidate communication, interview scheduling, phone screens, and applicant tracking.
Assist with employee records, onboarding documentation, and personnel file maintenance.
Organize and maintain accounting, HR, and operational documentation.
Handle confidential employee, financial, and customer information with professionalism and discretion.
Maintain accurate internal records that support communication across multiple departments.
Provide administrative support to leadership and assist with special projects as needed.



What We're Looking For

You'll be successful if you have:

Experience in billing, accounting support, office administration, operations, or a related role.
Strong Excel and Microsoft Office skills.
Experience working with accounting systems, business software, CRM platforms, or databases.
Excellent written and verbal communication skills.
Exceptional attention to detail and accuracy.
Strong organizational skills with the ability to manage recurring deadlines.
The ability to investigate issues, identify missing information, and confidently determine next steps.
