RMYA provides treatment programs for traumatized children who most often are victims of sexual, physical, and/or emotional abuse. RMYA supports using trauma-informed techniques and relationship-based approaches to create a safe environment that provides consistency, structure, and caring for the children we serve. Job Summary: The Assistant Program Manager supports the overall operation of a residential treatment program or emergency shelter. Working under the direction of the Program Manager, the Assistant Program Manager provides day-to-day leadership, staff supervision, operational oversight, and support to ensure the safety, security, and well-being of youth in care.The Assistant Program Manager serves as a resource to direct care employees, assists with staff development and program operations, and helps ensure compliance with agency policies, licensing standards, and treatment expectations. The Assistant Program Manager promotes a safe, structured, and therapeutic environment through the application of trauma-informed practices and Trust-Based Relational Intervention (TBRI) principles. Essential Duties/Responsibilities: People Responsibilities:• Provide direct supervision, coaching, and support to direct care employees.• Conduct regular employee check-ins and provide ongoing performance feedback.• Assist with onboarding, training, and mentoring new employees.• Ensure new employees complete required orientation checklists and buddy-system requirements.• Model professionalism, trauma-informed care practices, and TBRI principles.• Address employee performance concerns through coaching and documentation of developmental conversations.• Foster a collaborative, supportive, and accountable work environment.Program Responsibilities:Administrative:• Assist with scheduling and staffing coordination to ensure adequate program coverage• Monitor and review required documentation, incident reports, progress notes, logs, and client management system entries for accuracy and timeliness.• Conduct audits of program documentation and provide feedback to employees regarding documentation quality.• Track employee training requirements, certifications, and compliance with required trainings.• Assist with inventory management, supply requests, and operational reporting requirements.• Support data collection and reporting requirements for internal and external stakeholders.• Review and approve routine documentation as delegated by the Program Manager.Management:• Coordinate shift transitions and communicate operational updates between shifts.• Assist with management of daily program activities and youth schedules.• Monitor implementation of youth behavior management plans and treatment interventions.• Gather youth behavioral information and treatment updates for medication evaluations and treatment reviews.• Participate in treatment team meetings and staffing discussions.• Support crisis intervention and de-escalation efforts.• Respond to emergencies and critical incidents as needed.• Serve as Manager on Duty (MOD) when assigned.• Ensure youth receive appropriate supervision, services, and support.• Promote a safe, structured, and therapeutic living environment.Compliance & Quality Assurance:• Conduct documentation and program practice audits.• Assist with incident report review and follow-up activities.• Monitor employee compliance with documentation requirements, supervision standards, and operational procedures. • Assist in preparation for licensing visits, audits, and quality improvement activities.• Maintain training compliance records and monitor employee completion of required training activities.Relationship and Collaboration:• Serve as a liaison between direct care employees, Program Managers, Clinical Services, Nursing, Education, and Case Management.• Communicate significant youth, staffing, safety, and operational concerns to the Program Manager.• Assist with communication involving families, guardians, and external stakeholders as appropriate.• Ensure critical information is effectively communicated across shifts and departments.• Maintain professional and ethical standards as prescribed by RMYA.• Assist in coordinating and transporting youth to visits, appointments and/or extracurricular activities. Must have and maintain acceptable driving record. • Ability to meet all DFPS licensing requirements. Constant walking, standing, sitting, bending, arm and wrist rotation, reaching, writing, typing; frequent lifting and carrying at least ten pounds, pushing, pulling, and occasional driving; in person attendance with face shield/mask required. Work Environment: Willingness to work flexible hours, including evenings, weekends, and holidays. Shifts in environmental conditions i.e., hot, cold, outdoor, indoor, dry, humid, noise, congested areas. Fast-paced work using sensory demands i.e., hearing, vision, speech, spatial perception; dealing with multiple, complex, and repetitive tasks, working under pressure and deadlines. May be requested to work overtime and weekends for special program events.
