Job Description
The Title Specialist accurately processes automotive titles for lending partners and ensures all loan and title documentation is complete, compliant, and error-free. This role involves working with repossession and refinance accounts, preparing and submitting applications to state agencies, and navigating state-specific title laws and requirements to perfect liens. The Title Specialist delivers professional customer service through phone, email, voicemail, and text, while identifying potential fraud and escalating issues when necessary. This is a detail-oriented, onsite position in a fast-paced environment that offers strong growth potential and a supportive, team-focused culture.
Responsibilities
- Accurately process automotive titles for lending partners, including both repossession and refinance accounts.
- Review and audit loan and title documents to ensure completeness, accuracy, and compliance with policies and procedures.
- Use a queue-based system to manage, prioritize, and complete assigned tasks and action items within required timelines.
- Prepare, complete, and submit title applications to the appropriate state DMV/BMV offices, ensuring all documentation is correct and submitted on time.
- Process 15–20 titles per day with a focus on zero errors and high-quality work.
- Learn, understand, and navigate state-specific title laws and requirements to properly perfect liens in Indiana and other states as needed.
- Create and maintain detailed records and documentation in the system according to established policies and procedures.
- Provide excellent customer service on inbound and outbound calls, including responding to voicemails, emails, and text messages to obtain missing documentation or clarify information.
- Communicate clearly and professionally with customers and vendors to resolve title-related issues and ensure timely completion of tasks.
- Recognize potential fraud or “red flags” when reviewing accounts and escalate suspicious situations appropriately through established channels.
- Work efficiently in a fast-paced environment while maintaining high attention to detail and accuracy.
- Follow confidentiality and security requirements for handling sensitive vendor and customer information.
- Collaborate with team members and participate in a professional, supportive, and fun department culture.
- Adhere to all internal policies, procedures, and regulatory guidelines related to title processing and data security.
Essential Skills
- Minimum of a high school diploma or equivalent.
- At least 1-2+ years of experience specifically processing automobile loans and/or automotive titles
- Direct hands-on experience processing titles, not only gathering or forwarding documents to a third party or separate title department.
- Ability to clearly explain how to process a title in Indiana and describe experience processing titles in other states.
- Proficiency in Microsoft Office products, including Outlook, Word, Excel, and PowerPoint.
- Ability to navigate Outlook and create rules that automatically assign incoming emails to specific folders.
- Experience working in a fast-paced environment while maintaining high attention to detail and accuracy.
- Strong verbal and written communication skills, with effective listening abilities.
- Fast learning ability with strong comprehension, retention, and implementation of required policies, procedures, and systems.
- Experience with auto title processing, title documentation, title research, and auto loan workflows.
- Data entry skills with a focus on accuracy and speed.
- Customer service experience in an administrative or clerical environment.
Additional Skills & Qualifications
- Experience in the automotive industry, particularly in auto loans or title departments.
- Comfort working with queue-based systems to manage tasks and workflow.
- Familiarity with handling confidential financial and customer information in compliance with regulatory requirements.
- Strong organizational skills and the ability to manage multiple tasks and deadlines.
- Ability to identify and question inconsistencies or unusual account activity, with a mindset focused on risk and fraud prevention.
- Previous experience working in an office environment with dual monitors and digital filing systems.
- Interest in long-term career growth, including potential advancement into supervisory or management roles.
Work Environment
This role is 100% onsite in a modern, well-appointed office environment with open cubicles, dual monitors, and dedicated cabinet and filing space, allowing room for personal items without feeling crowded.
Job Type & LocationThis is a Contract to Hire position based out of Indianapolis, IN.
Pay and BenefitsThe pay range for this position is $20.00 - $23.00/hr.
