Overview

Rocket Title is a local, family-owned and operated title company โ€” boutique in size and built on a foundation of personalized service. We work in close partnership with our sister company, a respected real estate law firm, to provide real estate professionals with a seamless, full-service experience for the sale or refinance of residential and commercial properties.

The Title Agent is responsible for managing the end-to-end closing process for these transactions, ensuring all documents, funds, and communications are handled efficiently and accurately. Working in close partnership with the Title Assistant, the Title Agent serves as the lead communicator with clients โ€” guiding them confidently through every stage of the closing process, ensuring all steps are completed within set deadlines, and upholding the Rocket Title standards of service at every touchpoint. While many behind-the-scenes tasks may be delegated to the Title Assistant, the Title Agent retains full ownership of the transaction and must have the ability to perform any step of the process independently when needed.

This position requires a strong, confident communicator who can clearly guide clients, proactively follow up with all parties, and keep transactions moving forward on schedule.

Key Responsibilities

File Management & Communication

  • Open new files and input contract details into the closing system
  • Conduct introductory calls with buyers and sellers to explain the closing process
  • Serve as the primary point of contact for buyers, sellers, realtors, and lenders, functioning as the lead communicator throughout the transaction
  • Partner with the Title Assistant to coordinate file activity, delegate behind-the-scenes tasks, and ensure no step in the closing process is missed or delayed
  • Communicate clearly, confidently, and proactively to keep all parties informed and deadlines met
  • Send introductory letters and wire instructions to buyers
  • Send intake forms and follow up to ensure timely completion
  • Maintain accurate contact information for all parties

Title & Lien Processing

  • Request and review title and lien searches
  • Review existing surveys or order new ones as required
  • Inform buyers about survey exceptions and implications

Document Preparation & Review

  • Prepare and send preliminary documents to lenders
  • Draft and send title commitments
  • Email commitments and lien search results to all parties
  • Ensure all required documents are signed and collected
  • Prepare files for closing day, including payoff and wire preparation

Settlement & Closing

  • Schedule and confirm closing appointments
  • Send appointment confirmations
  • Balance closing disclosures (CD)
  • Obtain approvals from realtors, buyers, and sellers
  • Record earnest money deposits and send receipts
  • Disburse funds and send checks or payments as needed
  • Record closing documents and ensure proper filing

Status Updates & Follow-Up

  • Send regular status updates throughout the transaction
  • Clear commitment requirements and lien findings
  • Coordinate with lenders for funding authorization
  • Maintain complete and compliant file records
  • Audit files for completeness
  • Monitor all transaction milestones to ensure closing process steps are completed within established deadlines, escalating delays as needed

Customer Service

  • Respond promptly and professionally to client inquiries
  • Lead all client-facing communication in alignment with Rocket Title standards of service
  • Confidently guide clients through each step of the closing process
  • Maintain strong relationships with realtors and lenders
  • Ensure a smooth, professional closing experience that reflects the Rocket Title brand

Skills & Qualifications

  • Minimum 2 years of experience in Real Estate Closings/Title
  • Title Agent License (or obtained within 60 days)
  • Bilingual in English and Spanish (preferred)
  • Strong, confident communicator who can lead client conversations and follow up effectively
  • Proven ability to work collaboratively with the Title Assistant, delegating behind-the-scenes tasks while maintaining full accountability for each transaction
  • Comprehensive knowledge of all closing process tasks โ€” from file opening through post-closing โ€” with the ability to step in and execute any step independently
  • Excellent verbal and written communication skills
  • Strong attention to detail and organizational skills
  • Ability to manage multiple files and deadlines simultaneously
  • Professional, proactive, and accountable work style
  • Experience with title software and closing platforms (e.g., ClosingVue) preferred
  • Knowledge of real estate closing procedures, title insurance, and escrow processes preferred
