Who You'll Work With:
Bernstein Senior Administrative Associates are client service professionals and trusted business partners who work closely with Senior Executives, Wealth Advisors, and cross-functional stakeholders. In collaboration with these groups, they help support and advance business priorities across the Private Wealth Management Platform. This role partners closely with senior leaders and internal teams to enable informed decision-making, ensure disciplined execution, and support both day-to-day operations and longer-term initiatives in a dynamic environment.
What You'll Do:
The Senior Administrative Associate provides senior-level administrative, operational, and project support requiring strong judgment, critical thinking, and the ability to anticipate business needs. The role operates in a fast-paced, trust-based environment and emphasizes strategic partnership, independent decision-making, and ownership of complex, high-visibility workstreams. Responsibilities include:
  • Partner closely with senior leaders to proactively manage priorities, anticipate needs, and enable effective use of executive time.
  • Manage complex and dynamic calendars, coordinate travel, and oversee logistics with accuracy, discretion, and diplomacy.
  • Coordinate complex senior-level internal and external meetings, conference calls, and events, including preparation of agendas, materials, and follow-up on action items.
  • Lead and support cross-functional projects and initiatives, including planning, coordination, tracking deliverables, and ensuring timely execution.
  • Conduct independent research and analysis, synthesize information, and prepare clear summaries or recommendations to support executive and business decision-making.
  • Prepare, analyze, and maintain high-quality presentations, reports, spreadsheets, and materials for management reviews, client meetings, and other senior-level forums.
  • Support business management activities such as organizational planning, maintaining and updating organizational charts, reporting, and operational documentation.
  • Act as a liaison across departments to facilitate information flow, interpret and apply policies or guidelines, and coordinate initiatives on behalf of senior leaders.
  • Handle matters of a highly confidential and critical nature, exercising sound judgment and maintaining strict discretion.
  • Manage multiple priorities and timelines simultaneously, identifying opportunities to improve processes, strengthen controls, and enhance operational efficiency.
  • Navigate the firm effectively by interfacing with internal partners (e.g., Legal, People, Compliance, Technology) and external contacts and vendors.
  • Provide guidance and informal mentorship to junior administrative staff and contribute to a collaborative, high-performing team environment.
  • Maintain flexibility to support business needs, including availability outside standard business hours when required.
What We're Looking For:
Experience and Education
  • 5 - 7 years of progressively responsible administrative, executive support, or business operations experience, preferably within an investment management or professional services environment.
  • Demonstrated experience supporting senior-level leaders and managing complex, high-visibility responsibilities with a high degree of independence.
  • Bachelor's degree required or an equivalent combination of education and relevant experience.
Skills and Competencies
  • Strong judgement and critical thinking skills, with the ability to anticipate issues and develop practical solutions.
  • Proven ability to independently prioritize and execute multiple complex tasks and projects in a fast-paced, deadline-driven environment.
  • Exceptional organizational skills, attention to detail, and follow-through.
  • Clear and concise written and verbal communication skills, with comfort interacting with senior stakeholders, clients, and external partners.
  • High level of professionalism, integrity, and discretion when handling sensitive information.
  • Demonstrated project management capability, including tracking milestones and driving outcomes.
  • Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook); experience with Salesforce, reporting, or collaboration tools preferred.
  • Ability to adapt quickly, manage ambiguity, and maintain composure under pressure.

In accordance with applicable law, the minimum and maximum base annual salary for this role is as follows: Base Salary Range: $90,000- $110,000. Actual base salaries may vary based on factors including but not limited to education, training, experience, past performance, and other job-related factors.
